Job-Specific Maildrop ID in Recruiterflow

How to find and use a job's unique Maildrop ID to automatically route forwarded resumes into a specific job in Recruiterflow.

Every job in Recruiterflow has a unique Maildrop ID — a dedicated email address that routes forwarded resumes directly into that job's source stage. It's the fastest way to get inbound applications from external job boards (like Indeed) into the right place in Recruiterflow automatically.

This is different from the general Maildrop address, which adds candidates to your database but doesn't attach them to a specific job. The job-specific Maildrop ID does both in one step.

How to find a job's Maildrop ID

  1. Go to the Jobs page in Recruiterflow.

  2. Find the job you want to route resumes into.

  3. Click the three-dot menu (⋯) next to the job name.

  4. Select Copy Maildrop Link from the dropdown.

The copied address is the Maildrop ID for that job.

How it works

Forward one or more resumes to the Maildrop ID as email attachments. Recruiterflow parses each resume, creates a candidate profile, and places the candidate in the source stage of that specific job. If the candidate already exists in your database, Recruiterflow matches them and adds them to the job without creating a duplicate.

Practical example

You've posted a software engineering role on Indeed. In Indeed's employer settings, go to Communications and set the "send resumes to" address to the job's Maildrop ID. Configure resumes to arrive as attachments. Now every application from Indeed routes directly into that job in Recruiterflow — no manual importing needed.

The same approach works for any job board that lets you set a custom "forward resumes to" email address.

Things to know

  • Resumes must be forwarded from an email address registered as a user in your Recruiterflow account. Resumes from unrecognized addresses won't be processed.

  • Resumes must arrive as attachments — not pasted into the email body.

  • Each job has its own unique Maildrop ID. Double-check the address when setting up routing on a new job board.

  • Candidates who already exist in Recruiterflow will be matched and added to the job — not duplicated.
