Setting up the "Update Field" action in Recipes

With the "Update Field" action in Recipes, you can automate field updates in candidate or contact profiles based on specific triggers. This new action enables you to update fields, both custom and system, automatically—helping you reduce manual data entry and streamline your recruiting workflow.

Where to Find the "Update Field" Action in Recruiterflow

The "Update Field" action is available under the Recipes module in Recruiterflow. To access it navigate to Recipes > create/clone a Recipe or edit an existing one > in the action section, you’ll now see the option to select “Update fields” as a new action.

Note: You can update up to 5 fields simultaneously in a single Recipe

Supported Triggers for the "Update fields" Action:

The "Update fields" action can be triggered by candidate and contact events as listed below:

  • A candidate’s stage changes in a job.

  • A candidate is disqualified from a job.

  • A candidate is sourced to a job.

  • A candidate applies to a job.

  • A placement record is created.

  • A placement record is updated.

  • A candidate is created.

  • A candidate enters a segment.

  • A candidate leaves a segment.

  • A contact is created.

  • A contact enters a segment.

  • A contact leaves a segment.

How Can You Leverage the "Update fields" Action?

This new feature provides you with endless possibilities for automating your recruitment process. Here are some powerful ways you can use the "Update Field" action:

1. Adjust Candidate Ratings Based on Stage Movements

Use Case:

Automatically increase or decrease a candidate’s rating when they progress through different stages of the hiring process.

Example: If a candidate moves from the “Initial Screen” to the “Client Submission” stage, their rating can be automatically increased from 3 to 4 stars.

This helps recruiters easily rediscover strong candidates later and track top talent based on their performance through the pipeline.

2. Automate Tagging When Profiles Enter or Leave a Segment

Use Case:

Automatically add or remove tags when candidates or contacts enter or leave a saved search or segment.

Example: When a candidate enters a segment for "Leadership Roles," automatically add the tag Leadership Potential to their profile.

This streamlines the process of categorizing candidates and makes segmentation for future roles simpler and more accurate.

3. Change Lead Owner for Candidates Advancing to Later Stages

Use Case:

Automatically assign or change the lead owner once a candidate reaches advanced stages in the hiring process.

Example: When a candidate enters the “Client Interview” stage, automatically transfer the lead ownership to a senior recruiter.

This ensures smooth handoffs between recruiters and optimizes resource allocation based on the stage of the hiring process.

4. Update Custom or System Fields Based on Candidate or Contact Actions

Use Case:

Automatically update custom or system fields whenever a candidate or a contact meets a condition.

Example:

If you have a custom field called "Industry", you can set a Recipe to update it to match the industry of any new job the candidate is hired for.

This keeps data up-to-date without manual intervention, ensuring that recruiters always have accurate insights at their fingertips.
