Filtering Omni Search Results by Entity Type

How to narrow Omni Search results to specific entity types, use multi-entity filters, and understand how results are distributed when multiple filters are selected.

When you want results from only one type of record - just jobs, just companies, just deals - entity filters let you cut through everything else instantly.

Available entity filters

The following filters are available in Omni Search:

  • Candidates

  • Contacts

  • Jobs

  • Companies

  • Deals

How to filter results

  1. Click the Omni Search bar at the top of Recruiterflow.

  2. Type your search query (at least 3 characters).

  3. Click an entity filter tab to show only results from that entity type.

  4. To select multiple entities, click additional filter tabs, they stack.

How results are distributed across multiple filters

When you select more than one entity filter, results are split evenly across the selected entities. The total visible results cap remains at 12.

  • 2 entities selected → 6 results each

  • 3 entities selected → 4 results each

  • 4 entities selected → 3 results each

If the split doesn't divide evenly, Recruiterflow rounds up. The total may slightly exceed 12 in those cases.

If fewer matching results exist for an entity than its allocated slot, only available results are shown, the remaining space is not filled by another entity.

Example: You select Candidates and Jobs (2 entities). The cap is 6 results per entity. You search "software engineer" - there are 6 matching candidates but only 2 matching jobs. You'll see 6 candidates and 2 jobs, for a total of 8 results.

Filter persistence

Entity filter selections are saved at the user level and persist across sessions. If you close your browser and come back, your last-used filter combination will still be active.

To clear filters, deselect the active entity tabs.
