Setting Up Intelligent Stage Movement for Positive Replies

Written by Amogh Balikai

Who this is for: Recruiters who want to automatically move candidates to a specific pipeline stage when AIRA detects a positive reply to a sequence email.

What intelligent stage movement does

When AIRA detects a positive reply to a sequence email, it can automatically move the candidate to a stage you specify in the attached job's pipeline. This keeps your pipeline current without manual updates. Interested candidates land in the right stage the moment they respond positively, not when you next check your inbox.

Prerequisite: The sequence must have a job opening attached, and the recipient must be on that job's pipeline. Stage movements do not apply to recipients who are not associated with the attached job. See Attaching a Job Opening to a Sequence for how to set this up.

How to configure positive reply stage movement

  1. Open your sequence and go to Settings

  2. Under the Reply Detection section, find switch to AIRA from Manual

  3. Select stages for every reply from the dropdown. The list shows all stages in the attached job's pipeline

  4. Save your settings

From this point forward, any recipient whose reply AIRA classifies as positive will be moved to the selected stage automatically.

Which stage to use

The right stage depends on your hiring workflow. Common setups:

  • Replied or Interested — if you want to reflect early-stage engagement before a recruiter reviews the reply

  • Phone Screen — if a positive reply in your workflow typically means the candidate is ready for an initial call

Avoid mapping positive reply detection to late-stage pipeline steps like Interview or Offer. AIRA classification indicates expressed interest — not assessed suitability. Recruiters should still qualify candidates before advancing past initial interest stages.

How this interacts with Stop on Response

Intelligent stage movement works regardless of your Stop on Response setting.

  • Stop on Response is ON: A positive reply stops the sequence and moves the candidate to the configured stage.

  • Stop on Response is OFF: The sequence continues running, but the stage movement still fires. The candidate advances in the pipeline even though further sequence steps will still execute.

What the stage movement applies to

Positive reply stage movement only applies to recipients who:

  • Are added to the sequence after the job is attached
