How to Setup Revenue Tracking for a Retained Job?

Setting up Revenue Tracking

The initial process of setting up revenue tracking for Retained jobs is very similar to Contingent jobs. The major difference however is the tranches involved in this job type. Here are the steps to set up revenue tracking for Retained jobs.

Step 1:

Head to the billing tab of the job where you want to set up revenue tracking and choose Retained in the Engagement Type dropdown. Then, click on the "+ADD TRANCHE" button on the right as seen in the image.

Step 2:

In the next window, you will be asked to choose a tranche from a dropdown list. There are 5 tranches here:

  1. Job is Opened

  2. Candidate Moves to Stage

  3. Day(s) After Candidate Moves to Hired

  4. Day(s) After Candidate Start Date

  5. Custom Date - This lets you add a specific date

Apart from Job is Opened and Day(s) Afyer Candidate Moves to Hired, you can add multiple tranches of the other types with different values associated with each tranche.

When Job Is Opened

This tranche is triggered when you open the job. You can add the revenue involved in this tranche and attribute it to select users. This tranche supports three different user roles for revenue attribution:

  1. Job Recruiter (Set as default)

  2. Job Account Manager

  3. Custom User

Once you allocate the revenue and attribution values, you can click on 'Save'. You can add more tranches by clicking on the "+Add Tranche" button as seen in the image below.

Candidate Moves To Job Stage

This tranche gets triggered when a candidate moves to a specific stage in the job pipeline. You can select any stage added by you while setting up the job.

Once you add the revenue for this tranche you can select to attribute it to a set of user roles as seen in the image below.

Day(s) After Candidate Moves to Hired

This tranche will trigger a defined number of days after a candidate is moved to the hired stage. You can add the number of days in the respective box as shown in the image.

Like the previous tranche, you can attribute revenue to any of the five user roles as seen in the image.

Day(s) After Candidate Start Date

Similar to Day(s) after Candidate Hired Date tranche, this tranche too triggers a defined number of days after the candidate starts their job. It also offers the same attribution roles as the previous tranche.

Custom Date Tranche

Under the custom date tranche, you can select a fixed date for this tranche to be triggered. The revenue added in this tranche can be attributed to any of the following:

  1. Job Account Manager

  2. Job Recruiter

  3. Custom User

Note: Ensure the total revenue attribution percentage is always less than or equal to 100%.

Placing Candidates and Recording Revenue

Revenue for a Retained job will be triggered whenever the conditions of a defined tranche are met.

For example, since the job is opened, it will trigger the when the job is opened tranche and record the revenue associated with it.

Likewise, on 31st July 2024, the custom date tranche will be triggered and the associated revenue will be added.

You can see these records on the job page as shown below:

The Total Revenue here is the revenue already realized based on the tranches triggered while the Total Forecasted Revenue is the total revenue associated with all the tranches added in the job.

Finally, like a contingent job, when you hire a candidate, the placement record will open up allowing you to add the salary of the candidate, bonus, job start date, and record revenue with contacts.
