Recruiterflow’s Smart Campaign Sender Assignment is designed to optimize email deliverability and engagement by intelligently selecting the most appropriate sender for each recipient.

This feature is crucial for agencies looking to maintain high deliverability rates, reduce the risk of emails being marked as spam, and foster stronger relationships with their candidates and clients.

Recruiterflow's smart sender assignment is designed to optimize email engagement by leveraging prior communication history with recipients. Here’s how it works:

Prioritizing Engaged Senders

If a recipient has responded to an email from a specific team member in the last 6 months, that team member will be prioritized as the sender for any new campaign emails to that recipient. This continuity in communication creates a more personalized experience for the recipient, which can lead to better response rates and more meaningful interactions. The next recipient will then be assigned in a round-robin fashion.

Example,

Imagine you have a campaign to promote a new job opening, and you have three team members available as senders: Alice, Bob, and Charlie. If a candidate, Sarah, replied to an email from Alice 3 months ago, the system will prioritize Alice as the sender for any new emails to Sarah, even if Bob and Charlie are also available. This way, Sarah sees a familiar name in her inbox, which increases the likelihood of her opening and responding to the email.

Understanding the Round-Robin Method

If a recipient has not responded to any emails from any team member in the last 6 months, the campaign will follow a round-robin assignment method. The round-robin method is a simple and effective way to manage sender assignments when there are no specific preferences for recipient communication. Here’s how it works:

  • The system cycles through the list of available senders in a sequential order.

  • Each new email is assigned to the next sender on the list.

  • Once all senders have been assigned an email, the cycle starts again from the beginning.

This balanced distribution helps prevent any one sender from being overwhelmed with too many emails while ensuring that all senders have an equal opportunity to engage with recipients.

Example,

Let's say you have a list of 10 recipients for a campaign, and none of them have engaged with any team members in the past 6 months. You have three senders available: Alice, Bob, and Charlie. The round-robin method will distribute the emails as follows:

  • Email 1 to Recipient A is sent by Alice.

  • Email 2 to Recipient B is sent by Bob.

  • Email 3 to Recipient C is sent by Charlie.

  • Email 4 to Recipient D is sent by Alice again.

  • And so on...

This ensures all team members get an equal number of emails assigned to them, balancing the workload and reducing the risk of spam flags.

Benefits of Assigning an Already Engaged Sender to a Recipient

There are several benefits to assigning an already engaged sender to a recipient:

  1. Consistency in Communication: Recipients are more likely to engage with emails from a sender they are already familiar with. This consistency builds trust and can lead to higher response rates.

  2. Better Relationship Building: Engaged recipients are more likely to respond positively to someone they have previously interacted with. This continuity helps in building and maintaining relationships, which is crucial in recruiting and client management.

  3. Optimized Follow-Ups: When a recipient receives an email from a familiar sender, they are more likely to continue the conversation, making follow-ups more effective and increasing the chances of a successful outcome.
