Understanding Goal Progress and Status

Learn how Recruiterflow tracks goal progress, what each status means, and how to use pro-rated targets to stay on track.

How Goal Progress Works?

Goal progress is calculated in real time using your existing CRM data.

  • Real-time updates: Progress automatically adjusts as you log placements, submissions, interviews, or revenue.

  • No manual entry: You never need to update numbers by hand.

  • Historical accuracy: Past goals always reflect the actual data as it was recorded, even if it changes later.

Every metric, placement, revenue, or submissions, feeds directly into your goals, ensuring full accuracy and transparency.

Goal Status Indicators

Each goal shows a color-coded status that makes it easy to track performance and identify risks early.

You’ll see these statuses across the Goals Dashboard and in the progress bars of each goal view (company, team, or user).

What Is a Pro-Rated Target?

A pro-rated target shows how much progress you should have made by today, based on the goal’s total value and the time elapsed.

Example:

  • Goal: 30 placements in January (31 days)

  • Today: January 15 (halfway through the month)

  • Pro-Rated Target: 15 placements (50% of goal)

  • Actual Progress: 18 placements

  • Status: On Track (120% of pro-rated target)

This allows you to see whether you’re pacing ahead or behind—before the period ends.

Reading the Progress Bar

Each goal includes a visual progress bar that shows real performance vs. expected progress.

Example Progress Bar:

  • Solid bar (60%) → Actual progress

  • Marker (50%) → Expected progress (pro-rated target)

  • Result: You’re ahead of pace ✅

If the marker is ahead of the solid bar, you’re behind schedule.
Your goal’s status will switch to Behind or At Risk, a signal to take action now instead of waiting until the end of the period.

Goal Breakdown Views

Each goal can be viewed with different progress breakdowns depending on how you want to analyze performance.

Total Progress (Default)

  • Shows cumulative progress for the entire goal period.

  • Example: “150 placements out of 200 target (75%).”

Weekly Breakdown

  • Progress grouped by week.

  • Useful for: Weekly stand-ups and short-term performance checks.

  • Example:

    • Week 1: 10/12

    • Week 2: 8/12

    • Week 3: 11/12

Monthly Breakdown

  • Tracks month-over-month trends.

  • Ideal for quarterly or annual goals.

  • Example:

    • Jan: 30/30 ✅

    • Feb: 28/30

    • Mar: 0/30 (in progress)

Quarterly Breakdown

  • Summarizes data across quarters.

  • Best for long-term goals and executive reporting.

  • Example:

    • Q1: 90/90 ✅

    • Q2: 85/90

    • Q3: 0/90 (upcoming)

Goal Achievement Over Time

Goal Hit Rate Chart

Visualize how your goal is performing across time.

  • Two lines:

    • Target Line → Expected goal per period

    • Achieved Line → Actual performance

How to Read It

  • Above target line: Goal exceeded

  • Touches target line: Goal met exactly

  • Below the target line: Goal missed

This helps you identify trends: steady growth, early spikes, or slowdowns.

Common Scenarios

Scenario 1: Consistent Performance

  • Target: 30 placements/month

  • Actual: 28–32 placements/month

  • Status: On Track or Reached consistently

  • Action: None needed—maintain current approach

Scenario 2: Slow Start, Strong Finish

  • Week 1–2: 5 placements (At Risk)

  • Week 3–4: 25 placements (On Track)

  • End Result: Goal Met ✅

Early “At Risk” status isn’t failure, it’s a warning to help you course-correct early.

Scenario 3: Strong Start, Fading Performance

  • Week 1–2: 20 placements (On Track)

  • Week 3–4: 5 placements (At Risk)

  • End Result: Goal Not Met ❌

Use weekly or monthly breakdowns to catch performance drops before the goal ends.

What It Shows

  • Top 10 users contributing most to a goal

  • Updates in real time

  • Shows actual contribution (not just percentages)

Tips for Staying On Track

Check Progress Weekly: Review your dashboard regularly. Don’t wait for notifications.
Use Pro-Rated Targets: Compare your progress to time elapsed and adjust mid-period.
Review Trends: If you’re consistently missing goals, adjust targets instead of repeating failures.
Don’t ignore “At Risk” Status: It’s your early warning system. Act before it’s too late.
