How to Map Reporting Relationships Between Contacts

A step-by-step guide to setting up "Reports To" on a contact so you can track who answers to whom inside a client company.

Recruiterflow lets you define reporting relationships between contacts at the same company, so your team always walks into a conversation with full organizational context.


What this feature does

The "Reports To" field on any contact profile lets you link that contact to their manager at the same company. Once set, you can view the full organizational structure as a visual org chart, directly from the company page.


Step 1: Go to a contact profile

Open any contact you want to map. You can do this from:

  • The Contacts tab in the left sidebar

  • Directly from a Company profile by clicking a contact's name


Step 2: Find the "Reports To" field

Look just below the contact's name and title in the header section of their profile. You will see the Details card with the org chart label as seen in the image.

Note: This field only appears for contacts who are associated with a company. You can only link a contact to another contact from the same company.


Step 3: Search and select a contact

Click the "Reports To" field. A search dropdown will appear.

  • Start typing the name of the manager

  • Only contacts from the same company will appear in the results

  • Select the correct contact from the list

Select the reporting manager from the dropdown and click on Save.


Step 4: What happens next

Once saved, two things happen immediately:

  1. On the contact's profile -- the "Reports To" field shows the manager's name as a clickable link. Click it to jump directly to their profile.

  2. "View in Org Chart" link appears -- just below the "Reports To" field, you will see a "View in Org Chart" link. Click it to open a modal showing the full organizational chart for that company, with the current contact highlighted.


How to edit a reporting relationship

Click directly on the "Reports To" field on the contact profile. Clear the current reporting manager and then re-assign the new reporting manager from the dropdown as mentioned above.


How to remove a reporting relationship

Click the "Reports To" field to open the dropdown, then clear the selected contact. The relationship is removed after confirming.

If the contact you linked as a manager is later deleted from Recruiterflow, the "Reports To" field will clear automatically.


Validation rules

Recruiterflow enforces two rules to keep your org chart clean:

  • A contact cannot report to themselves.

  • Circular relationships are blocked. For example, if A reports to B and B reports to C, you cannot set C to report back to A. You will see the error: "Cannot create circular reporting relationships."
