How to Create and Manage Deal Stages

How to add, edit, reorder, and delete stages within a deal pipeline, and how close probability works.

Who this is for: Admins. Stage configuration is managed inside each pipeline in CRM Settings.

Each deal pipeline has its own set of stages. Stages represent where a deal is in your sales process — from first contact to closed. You control the names, order, and win probability of every stage.

Adding a stage to a pipeline

  1. Go to CRM Settings → Deal Pipeline

  2. Open the pipeline you want to edit

  3. Click Add Stage

  4. Enter a stage name

  5. Set the Close Probability (a number between 1 and 99)

  6. Click Save

Editing a stage

  1. Open the pipeline in CRM Settings → Deal Pipeline

  2. Click on the stage name or the edit icon next to it

  3. Update the name or probability

  4. Click Save

Reordering stages

Drag and drop stages into the order that matches your sales workflow. The first stage in the list becomes the default stage when a new deal is created in this pipeline.

Deleting a stage

  1. Open the pipeline in CRM Settings → Deal Pipeline

  2. Click the delete icon next to the stage

  3. Confirm deletion

Important: A pipeline must always have at least one stage. If only one stage remains, you cannot delete it.

Understanding Close Probability

Close Probability is a percentage that indicates how likely a deal is to be won at each stage. It is used in deal reporting and pipeline value calculations.

Rules:

  • Must be a whole number between 1 and 99 (greater than 0, less than 100)

  • Deal Won is always 100% — this cannot be changed

  • Deal Lost is always 0% — this cannot be changed

  • You can set a custom probability for any other stage

Example: An agency running an executive search pipeline might set probabilities like this:

  • Qualified Lead → 10%

  • Intro Call Done → 25%

  • Proposal Sent → 50%

  • Terms Agreed → 80%

  • Deal Won → 100%

  • Deal Lost → 0%

Things to know

  • Deal Won and Deal Lost are permanent stages in every pipeline. They cannot be deleted or renamed.

  • Stage names can overlap across pipelines. In reports that show data across multiple pipelines, stages with identical names will have their counts combined.

  • Stage order set here is reflected across the Deals page, Reports, Recruiterflow BI, and Advanced Search.

  • If a stage is reordered while a teammate is on the Deals page, they will see the updated order the next time they load or refresh.
