Sequence Step Types: Detailed Reference

A complete configuration reference for all 7 sequence step types - every option, every constraint, and what's required to launch.

How to use this article

Each section below covers one step type in full: what it does, every configuration option available, what's required to launch, and what you can and can't do after launch.

Automated Email

What it does: Recruiterflow sends this email automatically on the sender's behalf at the scheduled time. No manual action required.

Configuration options

Template

Select a saved email template to pre-fill subject and body. Editable after selection.

Subject

Required. Supports personalisation tokens with fallback values.

Body

Required. Full rich-text editor. Supports tokens, formatting, attachments, inline images

Send as Reply

Available from Step 2 onwards. Threads this email onto a previous email in the sequence rather than starting a new thread. Requires a new subject line even when enabled (subject is used internally but the email appears as a reply in the recipient's inbox).

Delay

0–365 days. 0 = executes right away once the previous step is complete and the schedule allows.

Skip weekends while counting

Toggle. When on, Saturday and Sunday don't count toward the delay.

Test Email

Sends a test version to any email address you specify.

Required to launch

  • Subject line

  • Email body (AIRA block counts as body content)

After launch

  • Subject and body can be edited. Changes apply to recipients who haven't reached this step yet.

  • Send as Reply cannot be toggled on/off after launch.

  • Delay can be changed. See Editing a Sequence After Launch.

Manual Email

What it does: Recruiterflow prepares the email and notifies you when it's due. You review, optionally edit, and send it manually. It appears in the Manual Emails tab when ready.

Configuration options

Identical to Automated Email - same subject, body, AIRA, Send as Reply, delay, and skip weekends options. The only difference is the sending mechanism: manual instead of automatic.

Manual email statuses

Status

Meaning

Pending

Step is due. Waiting for you to send.

Overdue

Step due date has passed without action.

Scheduled

You've scheduled the email to send at a specific time.

Sent

Email has been dispatched.

Skipped

Step was skipped manually.

Required to launch

Marketing Email

What it does: Sends a bulk outreach email via your connected marketing email delivery provider. Designed for broad communications like job alerts, newsletters, announcements.

Requires a marketing email delivery partner to be connected. If not set up, you'll be prompted before the step can be saved.

Send as Reply

Not available for Marketing Email steps. Always starts a new thread.

Toggle. Same behaviour as Automated Email.

SMS / Text Message

What it does: Sends an automated text message to the recipient via your connected SMS provider.

Optional. Generates content within the SMS character context.

Things to know

  • SMS always sends from the parent user account. Aliases have no effect on SMS.

  • Recipient must have a valid phone number on their profile. Missing or invalid numbers cause an error at this step.

  • Character limits depend on your SMS provider settings.

Required to launch

  • SMS integration connected

Task

What it does: Creates a to-do item assigned to the recipient's sender when this step is reached. The sequence pauses for the recipient until the task is marked complete or skipped. Tasks appear in both the sequence's Tasks tab and the main Recruiterflow Tasks page.

Configuration options

Details

Task Title

Required. The task name that appears in the recruiter's task list.

Task Type

The category of task, e.g., Call, Follow-up, Research, Custom.

Description

Optional. Instructions or context for the recruiter completing the task.

Priority

Low, Medium, High. Affects sort order in the Tasks page.

Due date

Set by the delay field. The task is due N days after the previous step completes.

Reminder

Optional in-app or email reminder before the task is due.

Skip if not completed by due date

Toggle. When on, the task is automatically skipped if the recruiter hasn't completed it by the due date, advancing the recipient to the next step.

Delay

0–365 days. Controls the task due date, not a send time.

Things to know

  • The task is created when the previous step is completed, not when the step is configured.

  • Completing the task starts the delay clock for the next step.

  • Tasks are assigned to the recipient's sender, not to the user who created the sequence.

Required to launch

  • Task title

LinkedIn Connection Request (AIRA Plan only)

What it does: Sends a social connection request from the sender's connected social account to the recipient.

Connection note

Optional personalised message sent with the request. Hard limit: 200 characters. Supports personalisation tokens with fallback values. Note: If tokens cause the note to exceed 200 characters for a specific recipient, the step will error for that recipient.

Manually set sender

Optional. Assign a specific social account for this step if the default sender assignment shouldn't apply.

Delay

0–365 days.

Things to know

  • The sender's social account must be connected. Recipients reaching this step without a connected sender will error.

  • If the recipient doesn't have a LinkedIn URL on their Recruiterflow profile, this step will error.

  • If the sender is already connected to the recipient on LinkedIn, Recruiterflow will skip this step and advance to the next one.

Required to launch

  • No content is required. The connection note is optional. The step can launch with an empty note.

  • AIRA Plan required.

LinkedIn Message (AIRA Plan only)

What it does: Sends a direct social message to a recipient who is a first-degree connection with the sender.

Things to know

  • The recipient must be a first-degree social connection with the sender. If they are not connected, this step will error.

  • The sender's social account must be connected.

  • Social and SMS steps always send from the parent user account. Aliases have no effect.
