Save an Email as a Template While You're Writing It

Turn any email you're drafting into a reusable template without leaving the composer — no trip to Settings required.

If you've just written an email you know you'll send again — a candidate outreach note, an interview confirmation, a client update — you can save it as a reusable template right from the composer. No need to finish sending first, and no trip to Settings → Templates.

This works from the email composer on a candidate or contact profile.

Save your draft as a template

  1. Open a candidate or contact profile and start composing an email as you normally would.

  2. Write your subject line and body.

  3. Click Save as Template in the composer.

  4. Give the template a clear, descriptive name. Ensure you replace all PII with the merge fields, so that properties and values can be auto picked.

  5. If you want to share the tmelaprte with eevryone in the account, ensure you check the box below the template creator as seen in the image above.

  6. Click Save.

Saving the template doesn't send or discard your draft — the email stays open in the composer so you can finish and send it as usual.

Example

A recruiter is halfway through writing a follow-up to a candidate after a first-round interview. Partway through, she realizes she'll want to send this same message to every candidate who reaches this stage. Instead of finishing the email, copying the text, and rebuilding it as a template in Settings later, she clicks Save as Template, names it "Post Round 1 Follow-Up," and keeps writing. The email sends as normal, and the template is available from the dropdown next time she's in a similar conversation.

Things to know

  • Available in the new candidate and contact profile experience. If you don't see a Save as Template option in your composer, you may be on the older profile view — see Email Template Types for how templates created in Settings work everywhere.

  • The template type is inherited from where you're composing. An email saved from a candidate profile is saved as a Candidate Email template; from a contact profile, as a Contact Email template.

  • Personalized text you typed by hand stays as plain text — it doesn't automatically convert into merge fields. If you want the template to auto-fill details like candidate name for future recipients, use the merge-field picker before saving.

  • Templates saved this way show up alongside templates created in Settings → Templates — see Create email templates for candidates, clients, and teammates for how the template library works.
