Create email templates for candidates, clients, and teammates

Build reusable email templates with merge fields so you can send personalized messages in seconds — without rewriting the same email every time.

Email templates let you save messages you send often — candidate outreach, client updates, interview confirmations, internal notes — and reuse them with merge fields so each send is still personalized. Templates live in Workspace Settings → Templates and are organized into categories so the right merge fields show up wherever you're composing.


Create a template

  1. On email template, click ADD Template.

  2. Give the template a clear, descriptive name — this is what teammates will see in the composer.

  3. Select the Template Type according to the need - It populates field of its category (candidate, contact, client submission)

  4. Write the subject line and body. Use the merge-field picker to drop in personalization tokens.

  5. Add attachments if you want them auto-included whenever this template is used.

  6. Click Save.

The template is now available from the dropdown in the email composer anywhere that category (candidate, contact, client submission) applies.


Example

A recruiter is reaching out to 30 candidates for an Account Executive role. She creates a Candidate template called "AE Role — Initial Outreach" with merge fields for first name and job title, and attaches a one-pager about the company. When she opens a candidate profile and composes an email, she picks the template from the dropdown — first name and job auto-fill, the one-pager is pre-attached, and she just hits send. Same email, 30 sends, none of it copy-pasted.


Things to know

  • Merge fields are category-specific. A Candidate template can't pull Sales/Deal fields, and vice versa. Pick the category that matches where you'll send the email from.

  • Empty merge fields render as blank. If a profile is missing data for a field you've inserted, that spot will be empty in the sent email. Test on a profile with full data before sending at scale.

  • Attachments stick to the template. Anyone who uses the template gets the same files pre-attached — handy for JDs, intake forms, or one-pagers.

  • Templates are workspace-wide. Once saved, any teammate can use them from the email composer.

  • Edits apply going forward. Updating a template doesn't change emails that have already been sent.
