Tasks in Recruiterflow keep your follow-ups, candidate check-ins, client meetings, and internal deadlines in one place. You can create tasks for yourself or teammates, link them to any record, set reminders, and build recurring schedules — without switching tools.
Creating a task
From the Tasks page
Click Tasks in the left sidebar.
Click + Create Task in the top-right corner.
Fill in the task details (see field guide below).
Click Create Task.
From a record page
You can create tasks directly from any candidate, contact, company, job, or deal profile:
Task fields explained
Title (required) — What needs to be done. Keep it action-oriented: "Follow up with Sarah about offer decision" is better than "Sarah."
Task Type (required) — Choose from To-do, Call, Email, SMS, LinkedIn Message, or any custom types your Admin has set up in Settings. Email, Call, and SMS tasks open the relevant tool automatically when you click them.
Priority (required) — High, Medium, Low, or None. Use this to sort and filter your workload.
Assigned To (required) — Yourself, a teammate, or multiple people. Assigning to multiple people creates separate individual tasks for each person.
Associated With (optional) — Link the task to a candidate, contact, job, company, or deal. When you click the task later, it opens the associated profile directly.
Due Date & Time (required) — Pick from quick options (Today, Next business day, In 1 week, etc.) or set a custom date. Defaults to 3 business days from now at 10:00 AM.
Reminder (optional) — Get notified at due time, or 30 minutes, 1 hour, 1 day, or 1 week before.
Notes (optional) — Add context, links, or instructions. Supports basic formatting.
Recurring (optional) — Set the task to repeat weekly, monthly, or on a custom schedule. Useful for pipeline reviews, client check-ins, and standups.
Viewing your tasks
The Tasks table shows My Due Tasks (due today), My Overdue Tasks, and All Tasks across your account. From the table you can mark tasks complete, edit them, filter by type, priority, or assignee, sort by any column, and bulk-update multiple tasks at once.
To keep tasks visible on your home screen, add a Tasks widget to your Dashboard: go to Dashboard → Add Widget → Tasks, choose which tasks to display, and save.
Completing tasks
From the Tasks table, hover over a row and click the checkmark that appears on the right. From a record page, go to the Tasks tab and click the checkmark next to the task.
To mark several tasks done at once, select their checkboxes and click Mark as Complete at the top.
If you need to reopen a completed task, go to the My Completed Tasks segment, find it, and click Re-open. It moves back to your active list with the original due date.
Editing and deleting tasks
Click the pencil icon next to any task to edit it. For recurring tasks, you'll be asked whether to update just that occurrence or all future tasks in the series.
To delete, open the task and click Delete Task at the bottom. Recurring tasks give you the option to delete one occurrence or all future ones. Deleted tasks are permanently removed — if you're unsure, mark it complete instead so you can reopen it later.
Filtering and searching
Use quick filters at the top of the Tasks table to narrow by assignee, task type, priority, or source (manually created, AIRA Notetaker, or Sequence). For more control, click Filter to build custom filters by status, due date range, or associated entity, and save them as segments to reuse.
Notifications
Tasks trigger notifications in three places: in-app (bell icon) for new assignments and reminders; email for daily digests, weekly summaries, and individual reminders; and Slack or Teams for real-time assignments and reminders. To enable Slack or Teams notifications, connect the integration under Settings.
Things to know
Assigning a task to multiple people creates separate tasks for each — they don't share one task.
To see tasks you've assigned to others, use the Assigned by = You filter in the Tasks table, or add the relevant segment to your Dashboard widget.
Task source filters let you separate manually created tasks from those auto-generated by AIRA Notetaker or Sequences.
