Managing Sequence Tasks

How to use the Tasks tab inside a sequence — the table columns, task statuses, how to complete and skip tasks, bulk actions, filters, notifications, and what happens when a task is deleted.

Who this is for: Recruiters managing tasks created by sequence Task steps — completing them, tracking overdue ones, and keeping sequences moving.

Where to find sequence tasks

Sequence tasks are visible in the Tasks tab inside each sequence. It scoped to tasks from that specific sequence only. This is the best view when you're reviewing a single sequence's task backlog.

This article covers the Tasks tab inside a sequence. The tab only appears after at least one recipient has started the sequence and reached a Task step.

The Tasks table

The table shows all tasks created by this sequence. By default, only Due and Overdue tasks are shown — completed and skipped tasks are hidden unless you filter for them.

The table is sorted by Due Date, with the most overdue tasks at the top.

Columns

The task name as configured in the sequence step. Sortable alphabetically.

Due Date

Task Type

The candidate or contact this task is associated with.

The sender responsible for completing the task — always the recipient's assigned sender. Sortable.

Definition

Due

Requires action and is within the due date. Shown by default.

Overdue

Not yet completed and the due date has passed. Shown by default, sorted to the top.

Completed

Marked complete by the recruiter. Hidden by default — filter to see these.

Skipped

Skipped manually by the recruiter or automatically via the skip-on-overdue toggle. Hidden by default — filter to see these.

Task actions

Mark Complete

Instantly marks the task as done and advances the recipient to the next step in the sequence. The delay clock for the next step starts counting from the moment the task is marked complete.

You can mark a task complete by:

  • Clicking Mark Complete in the Actions column of the Tasks tab

  • Hovering over the task row to reveal the Mark as Complete option

  • Opening the task and completing it from the recipient's entity page (same experience as non-sequence tasks)

Skip Task

Skips the task step and immediately advances the recipient to the next step — without the task being completed. The skipped task is removed from the Due/Overdue view and only appears when you filter by Skipped status.

Skipping a task is equivalent to archiving it for sequence purposes — it tells the system "move on from this step" without recording the task as done.

Edit Details

Opens a modal where you can update the task's title, description, priority, and reminder. Note that changing the due date from here does not affect the delay configuration in the sequence — it only changes the due date for this specific task instance. If you change the due date, a warning informs you that the next step will not execute until the task is completed or skipped.

Reminder edits follow the same rules as the Tasks module — only preset options are available, no custom date selection.

Bulk actions

Select multiple tasks using the checkboxes to act on them at once:

  • Mark as Done — completes all selected tasks and advances their recipients

  • Skip — skips all selected tasks and advances their recipients

  • Update — bulk edit task details across selected tasks

Filters and search

  • Search by: Task Name or Recipient Name

  • Filter by Task Status: Due (Today or Later), Overdue (default), Completed, Skipped

  • Filter by Assigned To: Any recruiter assigned to tasks in this sequence

Notifications and reminders

Sequence tasks generate notifications differently from regular tasks. The matrix below shows what's sent and through which channels:

Notification type

In-App

Email

Task Reminder

New task assigned to user

Daily digest

Weekly digest

User mentioned in task notes

Sequence tasks are included in Daily and Weekly digest emails by default. Recruiters can opt out by adjusting their Task notification settings.

What happens when a task is deleted

If a task is deleted from the Tasks tab, it is treated as Skipped for the purpose of sequence progression — the recipient advances to the next step automatically. The task is removed from the Tasks tab but remains visible as Skipped when editing that recipient's content in the recipient-level editor.
