Sequence Task Notifications and Reminders

How notifications work for sequence tasks — what fires vs. what doesn't, how reminders are configured, daily and weekly digests, and why there's no new-task-assigned notification.

How sequence task notifications differ from regular tasks

Tasks created by sequences behave slightly differently from tasks you create manually in Recruiterflow. The key difference is assignment: sequence tasks are created automatically as recipients progress through steps, assigned to the recipient's sender by the system (listed as "Recruiterflow Sequences"). Because of this, there is no new task assignment notification — there's no single moment when a human assigns the task to you.

Instead, sequence tasks surface through reminders and daily/weekly digests.

Task reminders

When a Task step is configured with a reminder, that reminder fires as both an in-app notification and an email at the specified time relative to the task due date. Reminder options are preset — custom date/time reminders are not available for sequence tasks.

Available reminder options:

  • No Reminder

  • At task due time

  • Preset intervals before due time (e.g., 15 minutes, 1 hour, 1 day — exact options follow the Tasks module)

Daily and weekly digests

Sequence tasks are included in Recruiterflow's Daily and Weekly digest emails by default. These digests give recruiters a consolidated view of what's due, overdue, and coming up — across both sequence tasks and manually created tasks.

The digest is the primary mechanism for recruiters to stay aware of new sequence tasks without needing to check the Tasks tab in each individual sequence every day.

Opting out of sequence tasks in the digest: Recruiters can exclude sequence tasks from their Daily and Weekly digest by adjusting their Task notification settings. Go to Profile Settings → Email Notification Preferences and toggle off sequence task inclusion in the digest.

User mentioned in task notes

If a user is @mentioned in the Notes field of a Task step — either in the sequence configuration or when editing an individual recipient's task — that user receives both an in-app notification and an email notification. This works the same way as @mentions in regular tasks.

Why there is no "new task assigned" notification

Sequence tasks are created programmatically when a recipient reaches the Task step. There is no manual assignment event — the system creates and assigns the task automatically. As a result, no assignment notification fires.

This is by design. In a sequence with hundreds of recipients, firing an assignment notification for every task created would flood a recruiter's inbox. The Daily digest and reminders are the intended mechanisms for task awareness.

If your team needs real-time awareness of new tasks, the most reliable approach is to configure a reminder of At task due time on the Task step so the recruiter gets an in-app ping the moment the task is due.
