Add a batch of contacts to Recruiterflow in one go by importing them from a spreadsheet, instead of typing each one in by hand.
Handy when you're loading a list from a conference, migrating from another system, or onboarding a new client whose contact list arrives as a file.
Before you start
Your file must be in .xlsx format. CSV, Google Sheets, and other formats are not supported — export to .xlsx first.
Put your column headers (Name, Email, Phone, Company, etc.) in the first row of the sheet. These are what you'll map to Recruiterflow fields during the import.
If you want the import to populate any custom contact fields, create those fields in Workspace Settings first.
How to upload
Go to recruiterflow.com/contact/add, or open Recruiterflow and use the Add Contact entry point.
Select Do a bulk upload.
Upload your .xlsx file using the file picker.
Review the preview. Recruiterflow shows your column headers alongside a sample record from the sheet so you can confirm the data looks right. Click the button at the bottom to continue.
Map each column to the matching Recruiterflow field — both system fields (Name, Email, Phone, Company) and any custom contact fields you've created. Columns you don't map are skipped.
Optional: add a tag to the whole batch. Tags make it easy to find this group later, e.g., "Q2 2026 import" or "RecCon attendees".
Confirm the upload. Recruiterflow processes the file, and the contacts land in your database.
Example
You come back from a recruiting conference with a spreadsheet of 200 attendees. Save it as .xlsx, head to the contact upload page, map the Name, Email, and Company columns to Recruiterflow's fields, tag the batch as "RecCon 2026", and submit. You can then filter your contact list by that tag and start outreach.
Things to know
Only .xlsx is supported. If your data is in CSV or any other format, export it as .xlsx before uploading.
Column order in your sheet doesn't matter — the mapping step handles that.
Unmapped columns are ignored, so it's fine if your file has extra fields you don't want to import.
Custom contact fields must already exist in Workspace Settings before they show up as mapping options.
Large files take a moment to process.
