Track candidate movement across the five hiring milestones — Recruiter Screen, Company Submission, Client Screen, Client Interview, and Hired — sliced by recruiter, job, source, or company.

Track how candidates flow through the five key milestones in your hiring funnel — Recruiter Screen, Company Submission, Client Screen, Client Interview, and Hired. The Milestones Report breaks these out by recruiter, job, source, or any combination you need.

Useful for agency owners measuring team output, recruiters tracking their own pipeline conversion, and ops leads building weekly or monthly reviews.

The five milestones

  1. Recruiter Screen — candidates your team has screened internally.

  2. Company Submission — candidates submitted to a client.

  3. Client Screen — candidates the client has reviewed after submission, before interviewing.

  4. Client Interview — candidates interviewed by a client.

  5. Hired — candidates a client has hired.

Each milestone maps to a stage category you assign in Workspace Settings. If a stage isn't rolling up the way you expect, check that it's tagged to the right category — see Why selecting the right stage category is important.

How to run the report

  1. Go to Reports and select Milestones.

  2. Pick the time period at the top.

  3. Open Filters to narrow the data by Milestone, Job, or Source.

  4. Use Group By to choose the breakdown — Recruiter, Job, Source, Company, and so on.

  5. Click Download for an export, or Save the view so the filters stick next time.

Practical example

An agency owner wants to see which recruiter is driving the most candidates to client interviews this quarter. They open the Milestones Report, set the date range to the current quarter, filter Milestone to Client Interview, and group by Recruiter. The breakdown shows each recruiter's count side-by-side. They save the view as "Quarterly Interview Volume" so it loads with one click in the next team review.

Things to know

  • The report counts candidates by stage-category movement. If a category isn't represented in a job's pipeline, that milestone shows zero for that job, not an error.

  • Only admins can add or rename stage categories in Workspace Settings. Ping your admin if a category needs adjusting.

  • Saved views are personal, they don't appear for other users unless you share them.
