Bulk Update Candidate Ratings and Transfer Older Ratings

A faster and more efficient to manage candidate evaluations.

Two things you can do with candidate ratings in bulk: update ratings across a group of profiles in one action, and migrate ratings stored in an old custom field into the native Candidate Rating system field. This article covers both.

Bulk updating candidate ratings

You can bulk update ratings from either the Candidates page or Advanced Search. The steps are the same in both places.

Step 1: Select the profiles

Go to the Candidates tab or Advanced Search and select the profiles you want to update.

Step 2: Open Update Fields

Click Update fields in the toolbar above the table. In Advanced Search, find it under the three-dot options menu.

Step 3: Choose the field and action

In the Field dropdown, select Candidate Rating. In the Action dropdown, choose either Change to (to set a new rating) or Remove values (to clear the rating).

Step 4: Apply the rating

Select the rating value from the dropdown, then click Update fields. The new rating is saved to all selected profiles immediately.

Transferring older ratings via bulk upload

If you previously tracked candidate ratings in a custom star-rating field and want to move that data into the native Candidate Rating system field, use the bulk upload method below. This is a one-time migration — nothing else on the profiles is affected.

Step 1: Filter by your custom star rating field

Go to Advanced Search and add your custom star rating field as a filter. Set the filter type to is set, then click Done. This pulls up every candidate who has a value in that field.

Step 2: Export to Excel

Select all profiles, click the three-dot options icon, and choose Export to Excel. You'll receive an email when the export is ready to download.

Step 3: Start a bulk upload

Click the + Profile icon next to Advanced Search and select Add candidate.

Step 4: Upload the exported file

Select Bulk upload via spreadsheet and choose the Excel file you just exported.

Step 5: Confirm the preview

Check the data looks correct in the preview window, then click Looks good, proceed to mapping.

Step 6: Map the rating field

You only need to map three fields: Name, Email, and Candidate Rating → your custom star rating field. Leave everything else unmapped. Click Save and continue.

On the final screen, skip the duplicate check step and click Start bulk upload. Recruiterflow will migrate the ratings from your custom field into the native Candidate Rating field without touching anything else on the profiles.

Pro tip: Once the transfer is complete, delete the old custom star rating field to keep your data clean and avoid confusion going forward.
