Sending too many emails too quickly can negatively impact email deliverability, domain reputation, and engagement rates. With the Email Sending Limits ability in Recruiterflow, admins can now control and optimize email delivery by setting.
This ensures that emails land in inboxes, not spam folders, while maintaining a healthy domain reputation.
How Does It Work?
Recruiterflow allows admins to define email sending limits at the user and alias levels. These limits apply to both campaigns and recipes to ensure controlled email distribution.
Admins can now set:
1️⃣ Emails sent per day – Maximum number of emails sent from an email ID in a 24-hour period.
2️⃣ Emails sent per hour – Restricts how many emails are sent every hour.
3️⃣ Emails sent per campaign – The maximum number of emails sent per campaign every day.
4️⃣ Delay between emails – Time gap (in seconds) between two consecutive emails.
If not changed by admins, the default limits are as follows:
Emails per day: 60
Emails per hour: 10
Emails per campaign: 60
Time delay between emails: >90 seconds
Admins have full control over these settings and can modify them based on their needs.
How to Set Email Sending Limits?
Setting Email Limits on Self and Aliases
Head to Settings. By default, you will see the Profile settings on top. In the Mailbox table, you will see a column called Limit.
These are basically the email guidelines that you can set for you and your aliases + other users and their aliases.
If you want to manage that, click on the gear icon under the Limit column as seen in the image.
On the next page, you will see 4 options on controlling your campaign emails:
a. Max emails sent per day - The maximum number of emails you can send per day from a mail id or alias.
b. Max emails sent per hour - The maximum number of emails you can send per hour from a mail id or alias.
c. Delay between emails in seconds - The minimum delay between two emails being sent out
d. Max emails per campaign - The maximum number of emails that can go out from a single campaign.
We have already set some default values here to give you a head start. However, you can set your own limits and save it.
For every change you make, you will also be given a Risk Analysis showing how safe the limits are. You can use them as guardrails :)
You can also apply these limits to all your aliases by checking the "My Aliases" box.
Setting Email Limits For Other Users
If you need to send email limits for other users and aliases, simply go to the Users page in settings. Next, you can either click on a user profile OR directly click on the gear icon to manage email limits as seen from the image.
2. You will be taken to the same page of setting email limits like for you and you can apply your changes there.
📌 Admins can apply limits to individual users, aliases, or all users and aliases in the account.
Best Practices for Email Sending Limits
🔹 Keep daily emails around 60 per sender to avoid being flagged by email providers.
🔹 Use aliases to send more emails than the suggested limits.
🔹 Space out emails by setting a 1-2 minute delay between each email.
🔹 Distribute sending across multiple senders for larger campaigns.
🔹 Monitor deliverability metrics and adjust limits if needed.
