How to create and share an email alias with everybody in your team

Recruiterflow now extends the email alias capability to create and use shared aliases across your Recruiterflow account.

A shared alias is a team-wide email alias that allows multiple users within Recruiterflow to streamline communication by using a single, shared email address for key activities, like applications, submissions, and campaigns. Unlike personal email aliases (visible only to the individual who set it up and the admins of the account), shared aliases can be used and seen by everyone in the account.

Example: Using a Shared Alias for Job Applications

Let’s say your recruiting team is hiring for a software engineer position. With a shared alias like 'jobs@companyname.com', every application sent to this alias can be accessed by your entire team.


How to Set Up a Shared Alias in Recruiterflow

To create a shared alias, follow these steps:

Step 1:

Navigate to the Settings page in Recrutierflow and head to Profile Settings. You will see 'Alias' as an option. Now click on the '+New Alias' button as seen in the image.

Step 2:

Add the details like your name, email, and platform where the email is hosted, and most importantly, click on the 'Who Can Use This Alias' box and choose 'Everyone' from the dropdown.

Click on 'Save' once done.

Step 3:

Next, click on the 'Connect Platform' icon in the Alias table and select the email you want to connect with the alias. Once connected, you will see a green tick mark on the icon.

How can You Use the Shared Alias in Recruiterflow?

With the shared alias, your team can manage email communications seamlessly across various activities. Here’s how you can use it:

  1. Individual Emails: Select the shared alias when sending one-on-one emails to candidates or clients.

  2. Bulk Emails: Use the shared alias to send bulk emails.

  3. Campaigns as a Sender: Set the shared alias as the sender in campaigns.

  4. Recipe Actions: In any Recipe where the action is set to 'Send Email,' choose the shared alias to streamline automated messages across your workflows.


With shared aliases in Recruiterflow, managing team communications becomes smoother and more cohesive. You can ensure a consistent experience for both candidates and clients, regardless of who is handling the interaction.
