How to automatically create a new job when a deal is moved to 'Closed Won'

A straight forward way to setup an automated deal to job workflow

When a deal is marked as 'Closed Won' in Recruiterflow, this feature automatically creates a linked job using field mappings you define. It removes the need to manually set up a job after the sales team closes a deal making the handoff to your delivery or recruiting team seamless.

Note: This feature is available on Recruiterflow’s Advanced and Custom plans.

How it works: step by step

Here’s how to set up and use Deals Won → Jobs Created:

Setup: Mapping deals to jobs

  1. Go to Settings → CRM Settings → Opportunity to Job conversion
    Enable the toggle as seen in the image below.

  2. Select which deal fields map to which job fields
    Click on the dropdown next, and choose which fields from the deal will copy over into the new job. Typical mappings might include:

    • Deal Name → Job title

    • Deal Department → Job Department

    • Deal location → Job location

    • Deal company → Job company
      and any other mappings you want to create.

  3. Save your mappings
    Once your mappings are set, save them. These mappings will be used automatically every time a deal is marked Closed Won.

Using the feature: When a deal is won

  1. Sales marks a deal as Closed Won.
    When this status is applied in Recruiterflow, this triggers the automation.

  2. A job is auto‑created using the mapping rules set up earlier
    The job is generated and linked to the deal. All the mapped fields are populated as you defined.

  3. Both deal and job are linked for visibility
    Anyone who can view the deal or job will be able to see the connection. This helps both sales and delivery (or recruitment) teams see what came from what.

Can I disable the auto-creation for some deals?

As of the current version, once the feature is enabled, all deals marked Closed Won trigger a job creation.

What if I have custom fields in deals or jobs?

You can map custom deal fields to custom job fields in the mapping setup, assuming those fields have been created in both objects.

Will duplicate jobs be created?

If a deal is marked Closed Won more than once (e.g., status changed back and forth), the job still stays, unless manually deleted.

Can I edit the auto-created job afterward?

Yes. Once created, the job is just like any other job record. You can edit it, add more details, assign recruiters, etc.

How to get started

If your plan supports this feature (Advanced or Custom), here’s what to do right away:

  1. Review your current deal and job field structures. Ensure that the fields you want mapped exist in both.

  2. Navigate to Settings → CRM Settings → Opportunity to Job conversion and set the mappings.

  3. Communicate with your Sales and Delivery (Recruitment) teams so everyone knows how the workflow has changed.

  4. Mark a test deal as Closed Won to see that a job is created correctly with the right fields.

  5. Adjust mapping as needed after your test to match your real workflow.
