What are the 'Relationship' and 'Group By' options in advanced reporting?

Recruiterflow’s Advanced Reporting is designed to provide you with detailed insights into your recruiting and sales activities. However, to make these reports meaningful, you need to define two key aspects while setting up an advanced report:

  1. Relationships: Who or what do you want to measure with respect to the metric?

  2. Group By: How you want to organize the data for analysis.

In this article, we’ll walk you through what these terms mean and how you can use them effectively.

What Are Relationships?

A relationship determines how a specific metric (e.g., candidate submissions, deals moved, etc.) is linked to the users or teams you want to measure. Depending on the activity you are tracking, you can choose from various relationship types.

For Recruiting Metrics

When tracking recruiting activities (e.g., candidate submissions, offers, or hires), you can measure based on the following relationships:

  1. Stage Moved By

    Measures recruiters who actively moved candidates from one stage to another.

    Example: You want to know which recruiters are responsible for advancing candidates from the "Interview" stage to the "Offer" stage.

  2. Lead Owner

    Measures the lead owners responsible for the candidate.

    Example: If you want to see how many candidates progressed to the "Hired" stage under each recruiter’s ownership.

  3. Added By

    Measures the users who originally added or sourced candidates to your Recruiterflow database.

    Example: You’re analyzing how many candidates added by a particular recruiter were ultimately hired.

  4. Added to Job By

    Measures recruiters who added candidates to specific jobs.

    Example: If you want to track job-specific performance, such as how many candidates added by a recruiter to a job made it to the "Interview" stage.

For Sales Metrics

When tracking sales activities (e.g., deals moved, deals closed), you can measure based on the following relationships:

  1. Stage Moved By

    Measures the sales reps who moved deals from one stage to another.

    Example: Tracking how many deals each sales rep moved from "Negotiation" to "Closed Won."

  2. Deal Owner

    Measures the owners of the deals, irrespective of who moved the stages.

    Example: You want to evaluate how deals are progressing or closing under each deal owner.

  3. Added By

    Measures users who initially created the deals in the system.

    Example: Analyzing how many deals created by a specific user are progressing or resulting in a successful sale.

What Does Group By Mean?

The Group By option allows you to categorize and organize your data by specific fields, giving you a clearer picture of performance based on different dimensions. This works for both recruiting and sales activities.

Group By in Recruiting Reports

You can group data by various fields such as:

  1. Job: Analyze performance at the job level.

  2. Company: Measure performance by client company.

  3. Department: Group by the department for role-specific insights.

  4. Recruiter: Analyze performance by individual recruiters.

  5. Job Type: Measure performance across different engagement types like Retained, Contingent, or Contract jobs.

  6. Source: Group candidates by their source (e.g., job boards, referrals, LinkedIn).

Group By in Sales Reports

In sales reports, you can group data by:

  1. Company Name: Analyze deal performance by client company.

  2. Company Size: Group deals by the size of the client company.

  3. Industry: Group deals by the client’s industry.

  4. Company Status in the Deal Funnel: Organize deals by their current stage in the sales funnel.

Note: You can use both system field and custom fields in the Group By options

Practical Example: Recruiting Report

Let's say you want to track individuals who are executing candidate movement from "Submission" to the "Interview" stage by recruiters and analyze the data by source. In this scenario, here's how your relationship and group by options look:

  • Relationship: Choose “Stage Moved By” to measure the recruiters responsible for advancing candidates.

  • Group By: Select "Candidate Source" to understand which sourcing channel contributed the most to this stage of transition.
