Once your meeting ends, AIRA gets to work behind the scenes capturing everything that happened and turning it into structured, shareable insights.
Here’s what happens step-by-step 👇
Step 1: AIRA Notetaker Checks the Call Duration
AIRA Notetaker first determines that the meeting has ended and uses the actual call duration to begin processing (not the scheduled time).
For example, if your meeting ended 20 minutes early, AIRA will start based on the true end time.
Step 2: Transcript Is Generated
AIRA Notetaker begins by pulling out the full transcript of the conversation. It includes:
Speaker names (if detected)
Time-stamped dialogue
Language settings (if configured in your account)
This transcript forms the foundation for everything that follows.
Step 3: Summary Is Created from the Transcript
Once the transcript is ready, AIRA Notetaker applies your selected summary template to extract the most relevant information.
What’s included:
Structured summary based on your template sections
Any repeating sections triggered by questions or topics
Summary (short paragraph) view for quick reading
💡 You can edit the summary or change the template later if needed.
Step 4: Recording Is Processed (Optional)
If recording is enabled, AIRA Notetaker also processes the video or voice file in parallel:
Video is synced with the transcript
You can playback the call at variable speeds
Transcripts are clickable: jump to specific moments by clicking text
If you chose audio-only recording (e.g., via phone call), AIRA will still sync it with the transcript and enable playback.
How Long Does It Take?
The full processing time depends on:
Call duration
Call platform (video meetings may take longer)
Whether recording was enabled
On average, the process takes ~15 minutes from when the meeting ends.
Where to Find the Processed Call
After processing, your call will appear:
On the candidate, contact, or company profile (under the Conversations tab)
In the AIRA Notetaker > Meetings page (filterable by date, type, host, etc.)
