When you disqualify a candidate from a job, Recruiterflow asks you to pick a reason — "Not a culture fit", "Salary expectations too high", and so on. The list is customisable, so you can tailor it to how your agency tracks pipeline outcomes.
Add or edit disqualification reasons
You'll do this from Workspace Settings → Job Settings.
Go to Settings → Job Settings.
Find the Disqualification settings section.
Add a new reason, or click an existing reason to edit it.
Save your changes.
Note: Workspace Settings is admin-only. Only Admins can edit the disqualification reason list.
The new reason appears in the picker the next time anyone disqualifies a candidate.
Archive a reason instead of deleting it
Disqualification reasons can be archived, but they can't be fully deleted. Archiving hides the reason from the picker so no one can pick it for new disqualifications, while keeping it on any candidate records that already used it.
This protects your reporting, historical data stays intact, and any past pipeline analytics that grouped on an archived reason still work.
Practical example
Your team notices "Wrong Location" overlaps with "Not Open to Relocation" in the picker. An Admin goes to Workspace Settings → Job Settings, archives "Wrong Location", and the team uses "Not Open to Relocation" going forward. Past candidates already disqualified with "Wrong Location" keep that reason on their records, so old reports don't break.
Things to know
Workspace Settings is admin-only. Recruiters can pick a disqualification reason when disqualifying a candidate, but only Admins can edit the list.
Disqualification reasons feed reports and Recipes, for example, you can build a Recipe to send a rejection email automatically to candidates disqualified for a specific reason. Plan reason names with that downstream use in mind.
A few default reasons ship with every workspace and behave the same way as custom ones, they can be archived but not deleted.
