Bring your colleagues into Recruiterflow and control what they can see and do by assigning them a role.
How to add a team member
Open Workspace Settings and click Users.
Click Add User.
Enter the new user's First Name, Last Name, and Email.
Pick a Role — Admin, Recruiter, or one of your custom roles.
Click Save User.
The new user receives an email invite to set up their account.
Roles
Recruiterflow gives you two built-in roles and lets Admins build their own.
Admin — Super users. They see everything in the workspace: emails, notes, profile changes, stage movements, and compensation. They can add and edit jobs, move candidates between stages, invite new users, change roles, and configure workspace settings.
Recruiter — Power users. They see all candidates, create and edit jobs, move candidates between stages, and view compensation. By default, they only see their own communications with candidates and contacts.
Custom roles — If neither built-in role fits, build your own role with the exact permissions you want. Useful for sourcers, hiring managers, finance teammates, or anyone who needs a specific slice of access.
How team members sign in
Once invited, your team member can sign in to Recruiterflow with whichever option matches their email:
Google — if their email is on a Google Workspace domain
Microsoft — if their email is on a Microsoft 365 / Outlook domain
Email and password — set during account setup from the invite email
For most teams, this means no extra passwords to manage — colleagues sign in with the work account they already use every day.
Example
You hire a new sourcer who needs to find candidates and move them through early pipeline stages, but shouldn't see compensation data. Create a custom Sourcer role with the permission set you want, then go to Workspace Settings → Users → Add User and assign that role when you invite them.
Things to know
Only Admins can add or edit users.
Custom roles are how you fine-tune access to features like compensation, candidate communications, billing, and analytics.
The role you pick at invite time can be changed later from the Users page.
