Managing Manual Email Steps

How to find and manage Manual Email steps - statuses, how to send, schedule, skip, and edit, plus how Send as Reply works for manual emails.

What manual emails are

A Manual Email step is a point in the sequence where Recruiterflow prepares the email - subject, body, tokens resolved - but holds it for you to review and send. The sequence pauses for that recipient until you take action.

This is the right step type when the email is sensitive enough to need a human eye before it goes out - a key client, a personalised candidate pitch, a follow-up after a specific event.

Where to find them

Open any launched sequence and click the Manual Emails tab. This tab shows every manual email step across all recipients that is currently Pending or Overdue with your action queue for this sequence.

The table is sorted by Due On date, with the most overdue emails at the top.

Manual email statuses

Status

What it means

Pending

Due and waiting for you to send. The step's configured delay has elapsed.

Overdue

The due date has passed without action. Highlighted visually and sorted to the top of the table.

Scheduled

You've scheduled the email to send at a specific future time.

Sent

Email has been dispatched. The sequence advances to the next step for this recipient.

Skipped

Step was skipped manually. Sequence advances without sending this email.

Error

The step encountered an error - typically a missing field, invalid email, or disconnected integration.

By default, the tab shows only Pending and Overdue emails. Use the Status filter to view Scheduled, Sent, or Skipped emails.

Actions on each manual email

Send

Opens a send modal with the pre-filled email content. You can review and optionally edit before sending. The modal shows the resolved content for this specific recipient with actual values, not tokens.

From the send modal you have two options:

  • Send Now β€” dispatches immediately. The recipient advances to the next step.

  • Schedule β€” set a specific date and time for the email to go out. The step moves to Scheduled status. No task is created for a scheduled send.

Reschedule

Available on emails that are already in Scheduled status. Replaces the existing scheduled time with a new one.

Skip Step

Skips the manual email and advances the recipient to the next step without sending anything. A confirmation modal appears before the skip is applied.

When to use it: The email is no longer relevant for this recipient, or they've already been contacted through another channel and the email would be redundant.

Edit Content

Opens the recipient-level content editor for this email step. Lets you change the subject, or body before sending. Changes only affect this recipient's version of the email.

Bulk actions

Select multiple rows using the checkboxes to act on several manual emails at once:

  • Send Selected - opens a confirmation to send all selected emails sequentially. Each email sends with its existing content, no further editing.

  • Skip Selected - skips all selected manual email steps in bulk.

Filtering and searching

  • Search by: Recipient name or email subject

  • Filter by Status: Pending (default), Overdue (default), Scheduled, Sent, Skipped

  • Filter by Sender: Any sender assigned to recipients in this sequence

Send as Reply

If the manual email step was configured with Send as Reply, it will thread onto the most recent email already sent to this recipient in the sequence. The send modal shows the subject of the thread it will reply to.

If the recipient has no prior email in the sequence yet, the email starts a new thread using the subject line defined in the step.
