How to Review and Resolve Duplicate Company Clusters

Merge, dismiss, or reassign the parent on any duplicate company cluster — one row at a time or in bulk.

Once a scan completes, your results page groups likely duplicates into clusters — a parent company with one or more duplicates beneath it. Here's how to work through them.

Reading a cluster

Each cluster shows a parent row (checkbox, company name, Parent badge) and one or more duplicate rows beneath it, each with a checkbox, company name, confidence badge, Set as parent, Merge, and Dismiss. Company names are clickable and open the full profile in a new tab, so you can double-check before acting.

Merging a duplicate

  1. Click Merge on the duplicate row.

  2. Confirm the merge.

This uses the same merge logic as manually merging any two company profiles — contacts, jobs, and activity history from the duplicate roll into the parent.

Dismissing a pair

If a suggested pair isn't actually a duplicate — say, two genuinely separate regional offices — click Dismiss. Recruiterflow remembers this decision and won't suggest that exact pair again in future scans.

Changing the parent

The parent defaults to whichever company was added to Recruiterflow first. If a different company in the cluster should be the "main" record instead, click Set as parent on that row — the badge moves immediately, and record count doesn't matter.

Working faster: bulk and global actions

Check the parent row's checkbox to select every duplicate in that cluster at once, or check individual rows. A bulk action bar appears with Merge selected and Dismiss selected — these apply only within that cluster.

For faster cleanup across every cluster at once, use the global merge dropdown in the top-right of the results page: Merge all high confidence, Merge high & medium confidence, or Merge all. All global actions ask for double confirmation before running, since they act on everything at once.

When a cluster clears

Once every duplicate row in a cluster has been merged or dismissed, that cluster disappears from the results view automatically. Once every cluster is cleared, the page shows "All duplicates resolved. Your CRM is clean."

Things to know

  • All merge and dismiss actions on a run are attributed to whichever admin triggered that run.

  • If a merge fails, you'll see an inline error on that row: "Merge failed — try again or merge manually." The cluster stays visible so you can retry.
