Troubleshooting the Duplicate Companies Detection Agent

Fixes for the most common issues: a disabled Run now button, a failed merge, empty results, and more.

"Run now" is greyed out

You've already run the agent within the last 24 hours. The button shows the next available run time — wait until then to trigger another scan. This limit is per account, not per admin, so a run by any admin resets the 24-hour window for everyone.

The scan found no duplicates

If your results page reads "No duplicate companies found above the confidence threshold. Your CRM looks clean," the agent genuinely didn't find any pairs scoring 90% or higher. This is expected if your database is already tidy or if you've recently resolved a prior batch.

A merge failed

If you see "Merge failed — try again or merge manually" on a row, the merge didn't go through but the cluster stays visible so nothing is lost. Try the merge again; if it keeps failing, merge the two company profiles manually from the company page instead.

A pair I dismissed came back

Dismissed pairs are remembered by the exact two companies involved. If one of those companies gets merged with a third company afterward, the resulting record is technically new and isn't covered by the original dismissal — so a similar-looking suggestion can reappear.

I can't find the agent at all

This agent is visible only to account admins. If you're not seeing it in the AIRA agent directory, confirm your role with your account admin — see Admin Access & Permissions.

I didn't get a notification when my scan finished

Notifications go only to the admin who triggered that specific run. Check the email address on your Recruiterflow account, and confirm you were the one who clicked Run now — if a teammate triggered the run instead, it's their notification, not yours.
