Duplicate Contact Agent: Finding and merging duplicate contacts

How the Duplicate Contact Agent matches client contacts on shared Company, and what merging does to Jobs, Deals, and portal access.

Client contacts get re-added over time, a different recruiter enters the same person during a new engagement, without an email on file to catch it. Unlike candidates, name alone can't anchor this match for contacts, since the same real person can legitimately show up under two different, correctly linked companies. The Duplicate Contact Agent anchors on shared Company instead.

Before you run this agent: run the Duplicate Company Agent first and merge any duplicate companies. This agent's matching depends on the linked Company record, so two contacts sitting under not-yet-merged duplicate companies won't be recognized as sharing a Company, and you'll miss real duplicates.

What it finds

A shared linked Company is the gate, no shared Company, no duplicate set is shown, regardless of name. From there, the name decides confidence:

  • Strong Match — Full Name (First + Last) matches, and the linked Company matches.

  • Possible Match — Linked Company matches, and either only the First Name matches (Last Name differs), or the name is a close spelling variation.

Spelling variations are caught with fuzzy matching under the hood, you don't need to spell things exactly the same to get flagged.

Reviewing a duplicate set

Recruiterflow proposes a parent profile using, in order: the profile with the most Jobs associated, then the most Deals associated as a tie-break, then whichever profile was created first. You can accept the proposed parent, reassign it, or dismiss the set, same review flow as duplicate candidates and duplicate companies.

What happens to your data when you merge

Merging a contact set touches more than typical field data:

  • Jobs and Deals from every merged profile are added onto the parent, nothing is lost.

  • Primary Company is kept from the parent, since that's the field this whole match is anchored on.

  • Additional companies on child (non-parent) profiles are deleted, not merged in. Only the parent's Primary Company carries forward.

  • Client portal access is revoked for child contacts as part of the merge.

  • If a contact is also linked to a Candidate profile, the parent's link is kept. If the parent doesn't have one, it's backfilled from whichever duplicate was most recently updated.

  • Multi-select fields are combined, and single-select, short text, and long text follow the parent, backfilled from the most recent duplicate if the parent's is empty.

  • Email, phone, and social profiles are combined across all profiles.

There's no merge-undo, and portal access revocation takes effect immediately on merge. Confirm you've got the right parent before merging, particularly if the child contact is one your client currently logs in as.

Who can use this

Access is Admin-only. Scans run on demand, or automatically, at most once every 24 hours.
