Understanding Total Candidates and In Pipeline

How the Total Candidates and In Pipeline counts are calculated, and why search and filters never change them.

The header at the top of the Pipeline tab shows two numbers: Total Candidates and In Pipeline. They look similar, but they answer different questions.

How each count works

  • Total Candidates is every candidate linked to the job, regardless of stage or status.

  • In Pipeline is Total Candidates minus the candidates who are Disqualified, minus the candidates who are Hired. It tells you how many people are still actively being worked.

Example

A job has 20 candidates. Three are Disqualified and two are Hired.

  • Total Candidates: 20

  • In Pipeline: 15

You then move another candidate to Hired. In Pipeline drops to 14. Total Candidates stays at 20, because that candidate is still linked to the job.

What doesn't change the counts

Both counts are global for the job. Searching, filtering, or picking a stage in the stage bar changes which candidates you see, but never the numbers in the header. If you filter down to 4 candidates, the header still shows the full picture.

Things to know

  • Disqualifying a candidate lowers In Pipeline by 1 and leaves Total Candidates unchanged.

  • On a job with no candidates, both counts show 0. The tab stays visible with an empty state.

  • The counts appear in both Kanban and Table view.
