Adding a Candidate Directly from Your Inbox

How to add candidates to Recruiterflow directly from Gmail using the Chrome Extension — pre-filled details, email thread linking, and setup steps.

The Recruiterflow Chrome Extension works inside Gmail and Outlook, letting you add candidates directly from emails in your inbox — no switching tabs, no copy-pasting. When a candidate emails you, you can create their profile and attach the email thread in one click.

How to add a candidate from your inbox

  1. Open the email from the candidate in Gmail or Outlook.

  2. Click the Recruiterflow logo in your browser toolbar (or the sidebar panel if it appears automatically).

  3. The extension will pre-fill the candidate's name and email from the message.

  4. Add any additional details — job title, phone, current company — and select a job to add them to if relevant.

  5. Click Add Candidate. The profile is created instantly in Recruiterflow.

The email thread is linked to the candidate profile automatically, so it shows up in their Activity Log without any extra steps.

Setting up the Chrome Extension

If you haven't installed the extension yet, it takes under a minute to set up:

  1. Install the Recruiterflow Chrome Extension from the Chrome Web Store.

  2. Pin it to your browser toolbar for quick access.

  3. Log in with your Recruiterflow credentials when prompted.

A practical example

A candidate replies to your outreach email with their CV attached. Instead of downloading the CV and manually creating a profile, open the email, click the Recruiterflow extension, and their details are already pre-filled. Attach the CV, assign them to the job, and they're in your pipeline — all without leaving your inbox.

Things to know

  • The inbox integration currently works in Gmail and Google Workspace. If you use Outlook, you can still use the extension on LinkedIn and other sites to source candidates — just not directly from the Outlook inbox view.

  • If the extension isn't appearing on emails, try refreshing the page or checking that you're logged into Recruiterflow in the same browser.

  • Candidates added this way land in your general database. Use the Add to Job option in the extension or on the profile to assign them to a specific role.

  • If a candidate already exists in Recruiterflow, the extension will flag the duplicate so you can merge or skip rather than create a second profile.
