Adding a Candidate Manually to Recruiterflow

How to create a candidate profile from scratch in Recruiterflow — with tips on duplicates, job assignment, and when to use bulk import instead.

When you have a candidate's details on hand and want to get them into Recruiterflow quickly — without the Chrome Extension or a spreadsheet import — you can create the profile manually in a few clicks.

How to add a candidate manually

  1. Go to the Candidates Tab.

  2. Click on the Add Candidate option on the top right.

  3. Fill in the candidate's details. Only a name is required — you can also add email, phone number, current company, and job title.

  4. Click Create Candidate. The profile is created immediately.
    (You can use the Create and add another option to stay on the same page and add a new candidate)

Once the profile exists, you can enrich it further — add files, notes, custom fields, or assign them to a job — all from the candidate record.

A practical example

You just had a referral call and jotted down a candidate's details. Rather than tracking them in a spreadsheet, create the profile now while the details are fresh, then add a note summarising the call. You can assign them to a relevant job and move them into the pipeline straight away.

Things to know

  • Manually added candidates are not linked to any job by default. You can use the Assign to job option to connect them to an open role.

  • If a candidate with the same phone number, LinkedIn URL or email already exists, Recruiterflow will flag it as a duplicate before saving. Review before proceeding — see How Recruiterflow Detects and Manages Duplicate Candidates.
