How Recruiterflow Detects and Manages Duplicate Candidates

What duplicate detection does

When the same person applies multiple times, gets added by different team members, or appears in bulk imports, you end up with duplicate profiles. Recruiterflow spots these automatically so you can merge them in seconds instead of hunting through your database manually.

How duplicate detection works

Recruiterflow watches for candidates matching on three levels:

Level 1: Exact matches (automatic unification)

If two profiles have the same email address, phone number (mobile or home), or LinkedIn URL, Recruiterflow treats them as the same person automatically. New applications from that person are added to their existing profile, not duplicated.

Level 2: Probable duplicates (merge suggestion)

If two profiles share the same name, current company, and current job title, Recruiterflow flags them as "probable duplicates" and suggests you merge them. You'll see a banner on the candidate's profile with a Merge button.

How to merge duplicate profiles

  1. Click the options beside the candidate name and select Merge

  2. Select the candidate profile you want to merge with and click Merge

Both profiles become one. All activity, applications, and notes are preserved in the merged profile.
