Lock a candidate profile to freeze all activity, files, and communication on it — preventing any team member from making edits until the profile is explicitly unlocked.
What locking does
When a profile is locked, the activity section becomes read-only. No one on your team can add notes, log calls, edit fields, or attach files. Any team member can view the profile, but no changes can be saved.
This is especially useful for Hired or Placed candidates — you want to keep them on the system for future searches without accidentally modifying their record.
How to lock a profile
Open the candidate profile you want to lock.
Click the lock icon.
Confirm the action. The profile is now locked.
How to unlock a profile
Open the locked profile.
Click the unlock icon in the same location.
Confirm. The profile is now editable again.
Every team member receives an email notification when a profile is unlocked — so your team always knows when a locked record has been reopened.
Things to know
Any user can lock or unlock a profile — this is not Admin-only.
The full activity history is still visible while locked; it just cannot be changed.
Unlocking sends a workspace-wide email notification to all team members.
There is no expiry on a lock — the profile stays locked until someone manually unlocks it.
