What are Off Limits and how to set them up in Recruiterflow?

The Off Limits feature in Recruiterflow helps your recruiting agency manage compliance, respect client boundaries, and avoid conflicts by restricting outreach to candidates from specific companies or domains.

It’s a valuable tool for maintaining strong professional relationships and honoring contractual obligations.

What are Off Limits?

Setting a company or domain as Off Limits means your team will not be able to reach out to candidates employed there. This helps you avoid conflicts of interest and maintain compliance with agreements like non-competes or client relationships.

You can create multiple Off Limit reasons like Post-Placement Cool-Off, Strategic Partner Non-Poach, Regulatory / Legal Restriction, OR Talent-Pool Blacklist.

And have multiple companies added in each of the off limits reasons.

Situations Where You Can Use Off Limits

Off Limits is particularly useful in these scenarios:

  • Client Protection: Prevent outreach to employees of your existing clients, maintaining trust and respecting boundaries.

  • Non-Compete Compliance: Enforce non-compete agreements effectively by ensuring your recruiters don't accidentally approach restricted companies.

  • Strategic Partnerships: Protect strategic alliances by restricting outreach to employees at partner firms.

  • Former Clients: Use the cool-off period feature to temporarily restrict outreach after ending a client relationship.

  • Candidate Sensitivity: Mark certain companies Off Limits when candidate outreach could be sensitive due to ongoing negotiations or confidentiality concerns, think in cases like executive hiring

Note: A company, domain, or its alias can only be part of one Off Limits entry.

How to add a company to an Off Limits entry?

There are two ways to add a company to as an off limit:

  1. Adding the company by creating a new off limit reason

  2. Adding the company to an existing off limit reason

Adding the company by creating a new off limit reason

  1. Head to Off Limits settings from the settings tab. On the top right corner, click on '+ New Reason.'

  2. Enter the Off Limit reason name in the given box. Follow it up with the company details as seen below.


  3. If necessary, choose the Override Restrictions from the list below, and finally click on 'Save.'

Adding the company to an existing off limit reason

  1. Click on the edit icon of an existing off limit reason as seen from the image below


  2. Click on the 'Add company' link


  3. Add the company details and select the override restrictions like you did in the above method ,and click on 'Update'

Note: Candidates become automatically marked as Off Limits if their current employer or email domain matches an entry you’ve set.


Things to know

What is the Cool-Off Period?

The cool-off period is the timeframe after which an Off Limits restriction automatically expires. If you don't specify a cool-off period, the restriction stays active indefinitely, or until manually removed.

Company and Domain Relationship

When you add a company or domain as Off Limits, Recruiterflow automatically flags all employees and candidates with matching email domains as restricted. This ensures your team doesn’t accidentally reach out to individuals they shouldn't.
