How to Automatically Nurture Your Top Candidates

Set up an automated nurture system that keeps your highest-rated candidates warm using Ratings, Saved Searches, Campaigns, and Recipes.

Your best candidates go cold fast — especially if months pass without a touchpoint. This guide shows you how to build a fully automated nurture system in Recruiterflow that re-engages your top-rated candidates at the right intervals, with no manual follow-up required.

The system uses four features working together: Candidate Ratings, Advanced Search, Campaigns, and Recipes.

How It Works

Step 1: Build a Saved Search for your top candidates

Go to Advanced Search on the Candidates page and apply two filters:

  • Candidate Rating: 4 stars or 5 stars

  • Last Contacted: more than 180 days ago (adjust this based on your preferred cadence)

Save this segment — name it something like Top Candidates Nurture. The list updates automatically as candidates meet or leave the criteria.

Step 2: Create a nurture Campaign

Go to Campaigns and create a new campaign with 3 touchpoints: an initial outreach email plus two follow-ups. Space follow-ups 7 days apart.

Use merge fields like {{candidate.current_company}} or {{candidate.current_title}} to personalize each email. Save the campaign when done.

Step 3: Wire it together with a Recipe

Go to Recipes and set up a new automation:

  • Trigger: Candidate enters Saved Search → select Top Candidates Nurture

  • Action: Add to Campaign → select the campaign you just built

Save and activate the Recipe. Any 4- or 5-star candidate who hasn't been contacted in 180+ days will now automatically enter your nurture sequence.

Example

Sarah is a 5-star candidate you placed 18 months ago. She hasn't been contacted in 7 months. She automatically enters your Top Candidates Nurture search, gets added to your campaign, and receives a personalized check-in email — keeping you top of mind before she starts a passive job search.

Things to Know

  • If a candidate doesn't want to be contacted, snooze or unsubscribe them before activating the Recipe — they'll be excluded automatically.

  • If each recruiter manages their own book, they can clone the Campaign and Recipe, then add a Lead Owner filter to the Saved Search so only their candidates get enrolled.

  • The Saved Search is dynamic — candidates re-enter the nurture sequence after another 180

    days of no contact.

  • Candidates already in an active campaign won't be added again. Recruiterflow prevents duplicate enrollment.
