In Recruiterflow, there are multiple ways to remove or manage placements, depending on the situation. It's important to understand the difference between Cancel Placement, Delete Placement Record, and Delete Placement Profile so that you retain the right data and maintain clean, accurate records.
This guide outlines what each option does, when to use it, and how it impacts your reports and data.
Summary Table
Action | What It Does | When to Use | Impact |
Cancel Placement | Stops an active or upcoming placement but keeps all records | Candidate no-shows, client withdraws offer, contract ends early | Placement is marked as Canceled; still appears in reports for auditing, analysis, and historical reference |
Delete Placement | Permanently removes a single placement record | Duplicate entry, test placement, data entry mistake | Placement disappears from all lists and revenue reports; candidate/job/client profiles remain intact |
Delete Placement Profile | Deletes all the associated placement record(s) present in a profile. Especially used in contact hires. | Complete data cleanup (e.g., GDPR request) or incorrect candidate entry | All placement data like multiple contracts, perm placements are erased; nothing reflects in reports. |
When to Use Each Option
✅ Cancel Placement
Use this when:
A placed candidate backs out or doesn’t start
A client cancels the role after placement is confirmed
Why: Keeps the record for auditing, performance review, or pipeline insights
Result: Status is updated to Canceled, but placement details remain visible in the system and reports
🗑️ Delete Placement Record
Use this when:
A placement was created by mistake
You were testing the placement workflow
There’s a duplicate placement entry
Why: You don’t want the record to affect your data
Result: The placement is completely removed from Recruiterflow; other placements under it remain untouched
🚫 Delete Placement Profile
Use this when:
A candidate was incorrectly entered and needs full removal
A data-cleanup request (e.g., GDPR deletion) is received
You need to wipe all placement history for a specific contract placement record (e.g., multiple contracts and perm roles)
Why: Ensures full removal of all placement records
Result: All placements linked to the placement profile (generally under contract roles) are erased from Recruiterflow; nothing appears in reports or dashboards
Best Practices
Use Cancel Placement to preserve history and maintain accurate reporting, even if the candidate didn't start.
Use Delete Placement Record sparingly and only for true errors or test data.
Only use Delete Placement Profile when you're sure the candidate’s entire placement history must be erased.
