How to Create a Campaign in Recruiterflow

Step-by-step guide on creating and configuring a campaign in Recruiterflow

Campaigns let you send a structured, multi-step sequence of emails and texts to a group of candidates or contacts. Each recipient moves through the same steps on their own schedule — you set it up once, add people, and Recruiterflow handles the timing.

Note: Build all your steps before adding recipients. Once recipients are active in a campaign, you can't restructure the steps.

Step 1: Create the campaign

  1. Click Campaigns in the left navigation bar.

  2. Click + Add Campaign.

  3. Give the campaign a name, select the campaign type (Candidate or Contact), choose the sender, and click Create Campaign.



Step 2: Add steps

Go to the Steps tab and click Add Step. You can add email steps, text message steps, or manual email steps.

Email steps — Write the email or pick a template. Use merge fields to personalize by candidate name, job title, or other fields. Set the date and time for the first email, or send immediately. Use Test Email to preview how the message will look with a real profile's data before saving.

Text steps — Compose a short SMS. Works the same way as email steps for scheduling and testing.

Manual email steps — A step that pauses for your review before sending. Once the step is due, go to the Recipients tab, find the recipient, click Edit, and send or skip the email individually. Useful when you want to personalize before each send.


Step 3: Configure follow-up steps

After saving the first step, click Add Step again. For each follow-up step, define how many days after the previous step it should send, the time of day, and whether to skip weekends. You can also set a step to send as a reply to the previous email thread rather than a fresh message.

Repeat for as many steps as you need, then click Save Campaign.

Step 4: Add recipients and start the campaign

Once all steps are saved, go to the Recipients tab and add candidates or contacts. You can add them one at a time from a profile, or in bulk from Advanced Search or the Candidates page.

The first step fires according to the schedule you set. If you add a recipient after the originally scheduled date, Recruiterflow sends the first step at the next available time matching your schedule. For example: if Step 1 is set for 3:00 PM daily and a candidate is added at 6:00 PM, the first email goes out at 3:00 PM the following day.

Things to know

  • You can use AIRA to generate email content. Click the AIRA icon inside the step editor, fill in the context, and it'll draft the email for you.

  • Campaign emails stop automatically if a recipient replies — toggle Stop on Reply in campaign settings to control this.

  • Recruiterflow validates email addresses before sending. If a domain doesn't exist, the step is skipped and flagged as an error. See Smart Campaigns: Automatic Email Validation.
