Sharing Zoom Phone Call Recordings With Your Team

How to enable Zoom call recording for different users in your account

When using Zoom Phone with Recruiterflow, call recordings are stored in your Zoom account. To ensure Recruiterflow can access these recordings and generate transcripts via AIRA Notetaker, proper call recording permissions must be configured in Zoom.

Why Call Recording Access Matters?

For Recruiterflow to retrieve call recordings and transcripts:

  • Call recording must be enabled in your Zoom Phone integration settings within Recruiterflow

  • Your Zoom account must have the appropriate permissions to access recordings

  • Recording access settings in Zoom determine which users can view, download, or manage recordings

Managing Call Recording Permissions in Zoom

Zoom allows you to control who can access call recordings at different levels. By default, phone users can access their own ad hoc recordings (recordings started using in-call controls).

Key Points:

  • Automatic recordings: Recordings that start automatically based on policy settings

  • Ad hoc recordings: Recordings manually started during a call

  • Account owners and admins have access to recordings by default

How to Share Call Recordings

To change a phone user's access to call recordings:

  1. Sign in to the Zoom web portal as an admin

  2. In the navigation menu, click Phone System Management, then Users & Rooms


  3. Click the name of the phone user


  4. Click the Policy tab


  5. Scroll down to the Automatic Call Recording or Ad Hoc Call Recording setting

  6. Click Access Manage Member List


  7. Add users and set their permissions:


    • Access: Members can view the recordings (granted by default)

    • Download: Members can download recordings

    • Delete: Members can delete recordings

Note: If a phone user is allowed to delete a recording, deleted recordings are removed for all phone users, including the owner.

Troubleshooting

If call recordings or transcripts are not appearing in Recruiterflow:

  1. Verify that Enable call recording is checked in Recruiterflow's Zoom Phone integration settings

  2. Check your Zoom account permissions to ensure you have access to recordings

  3. Confirm that call recording is enabled in your Zoom Phone policy settings

  4. Try disconnecting and reconnecting the Zoom Phone integration in Recruiterflow
