Call candidates and contacts directly from Recruiterflow using Microsoft Teams Voice. Calls log automatically to activity timelines, and recorded calls flow into AIRA Notetaker for transcription and summaries.
Before you start
You'll need:
A Microsoft Teams account with a Teams Phone License enabled — check with your IT admin if unsure
Access to OneDrive for storing call recordings
A Global Microsoft Administrator to complete the org-level setup first (Step 1 below)
An existing OneDrive folder where recordings will be saved — create this before you start
Setup: Two steps
Step 1: Global Microsoft Admin — enable Teams Phone for your org
This is a one-time step that unlocks the integration for everyone on your team. Until it's done, no individual user can connect.
Heads up: If the admin who set this up ever disconnects their account, every user in your org will lose access. Keep that in mind when deciding which admin owns this.
Go to Settings → Integrations
Under Telephony, select Teams Phone from the dropdown
Click "Enable Teams Phone for your organization"
Accept the permissions on the Microsoft consent screen
Confirm the connection is active
Once this is done, team members can connect their individual accounts.
Step 2: Individual users — connect your Teams Phone
Before you begin: Create a folder in OneDrive first (e.g., "Recruiterflow Call Recordings"). You can't create folders from within Recruiterflow.
Go to Settings → Integrations
Under Telephony, select Teams Phone
Enter your Teams phone number — find it in the Calls tab of your Teams app
Use this format:

Set your recording storage location: start typing an existing OneDrive folder name and select it from the dropdown. You can add multiple folders if you store recordings in different places.
Click Save
Making calls
Open a candidate or contact profile
Click the call icon next to their phone number
The Microsoft Teams dialer opens and places the call
After the call ends, Recruiterflow automatically logs the outcome — Connected or Not Connected — and duration to the activity timeline.
Recording calls
Recording is manual. You must start it from inside Teams during the call. Calls that aren't recorded won't appear in AIRA Notetaker.
Once the call is live, click More actions (…) in the Teams dialer
Select Start recording
All participants are automatically notified
The recording saves to your OneDrive folder when the call ends
Recordings appear in AIRA Notetaker roughly 15–20 minutes after the call, once Teams has uploaded the file and AIRA has processed the transcript and summary.
Troubleshooting
Teams dialer doesn't open
Make sure Microsoft Teams is running on your computer
Verify your account has a Teams Phone License
Check that your browser allows opening external apps
Try reconnecting under Settings → Integrations → Teams Phone
Recording not showing in AIRA Notetaker
Confirm you clicked Start recording during the call — there's no auto-record
Wait the full 15–20 minutes for processing
Check that the recording is in the OneDrive folder you configured
Make sure all relevant folders are listed in your Teams Phone settings
Can't find my OneDrive folder in Recruiterflow
The folder must exist in OneDrive before it appears here — create it first, then return
Type the name slowly to let auto-complete load results
Wait a minute after creating a new folder, then try again
Integration stopped working for the whole team
The most likely cause: the Global Admin who enabled the integration disconnected their account. Have an admin reconnect at Settings → Integrations → Teams Phone. All users will need to reconnect individually afterward.
Things to know
Recording consent: All call participants are notified automatically when recording starts, but it's still good practice to mention it at the top of the call.
Unrecorded calls still log: If you don't record, the call outcome and duration still appear on the activity timeline — just no transcript or AIRA summary.
Multiple OneDrive folders: If you organize recordings by client or role type across different folders, add them all so Recruiterflow can find them.
Admin dependency: The org-level connection is tied to a specific Global Admin account. If that person leaves, a new admin must re-enable the integration before anyone can use it.
