Who this is for: Recruiters adding candidates or contacts to an active or draft sequence.
5 ways to add recipients
You can add recipients to a sequence from multiple places in Recruiterflow:
1. From the Recipients tab inside a sequence
Open the sequence and go to the Recipients tab
Click Add Recipients
Search by name, email, phone, or LinkedIn profile
Select one or multiple recipients and click Add
2. From the Candidates or Contacts table
Go to the Candidates or Contacts table
Bulk-select the people you want to add
Click Add to Sequence from the bulk actions bar
Select the sequence to add them to
3. From a candidate or contact profile page
Open the profile and find the Sequences card in the side panel
Click Add to Sequence and select the sequence
From the profile page, you can also see the person's current status and next step in any sequences they're already part of, and take actions (pause, skip, stop) directly.
4. From the Chrome extension
When sourcing candidates or contacts via the Recruiterflow Chrome extension, you can add them directly to a sequence as you source.
5. Via Recipes (automated)
Recipes can automatically add or remove recipients from sequences based on triggers you configure — for example, adding a candidate to a sequence when they're moved to a specific job stage.
If the first step is a Manual Email
Whenever a recipient is added to a sequence whose first step is a Manual Email, a pop-up opens so you can review and edit the email before it goes out. This appears regardless of the configured delay.
If the email is scheduled to send immediately: the pop-up shows a Send button
If the email has a delay: the pop-up shows a Save button
You can send immediately or schedule for a specific time. Scheduling a send does not create a task.
Validation: when a recipient can't be added
If your account has Allow Simultaneous Sequences for the Same Profile turned off (the default), a recipient who is already in another active or paused sequence cannot be added to a new one.
When you try, a modal appears:
"[Recipient Name] is already part of Sequence A. To add them to this new sequence, they must be removed from Sequence A."
You'll have two options: Remove & Add Here or Cancel. This rule applies across all entry points — the Recipients tab, candidate table, profile page, extension, and Recipes.
To allow the same recipient in multiple sequences simultaneously, an Admin can enable this in Automation Settings → Sequence Configurations.
When recipients cannot be added at all
Recipients cannot be added to Archived or Deleted sequences
A recipient who has been Stopped from a sequence cannot be re-added to that same sequence
