Account-Level Sequence Settings

Admin guide to workspace-wide sequence settings — schedules, simultaneous sequence rules, unsubscribe footers, and email open tracking.

Who this is for: Admins configuring workspace-wide sequence settings that apply to all users and sequences on the account.

Where to find these settings

Go to Settings from the top-right menu, then navigate to the Automation Settings section. Settings here are organised into three areas: Schedule Settings, Sequence Configurations, and Email Tracking Settings.

Schedule Settings

Schedules control which days and hours Recruiterflow is allowed to send outreach for any sequence. Every sequence must have a schedule selected before it can launch.

Creating a schedule

  1. In Schedule Settings, click Create Schedule

  2. Name the schedule (e.g., "Weekdays Only", "Europe Schedule")

  3. Select the permitted sending days (e.g., Monday–Friday)

  4. Set the allowed sending time window (e.g., 9:00 AM – 6:00 PM)

  5. Save the schedule

You can create multiple schedules for different use cases. Each schedule is available to all users as a selectable option when configuring a sequence.

Setting a default schedule

Mark one schedule as the Default so it's pre-selected whenever a recruiter creates a new sequence. The default schedule is labelled clearly in the list.

Editing or deleting schedules

Schedules can be edited or deleted at any time. If you edit a schedule that's already in use, the change takes effect immediately for all upcoming steps across all sequences using that schedule. Steps already queued with a specific timestamp are not affected.

These toggles control global sequence behaviour across your entire account.

Enable Smart Sequences

Automatically adjusts outreach based on recipient interactions and engagement. When enabled, sequences can adapt timing or behaviour based on how recipients respond.

Enable Unsubscribe Footer in Email Sequences

Adds a standard unsubscribe link to the footer of all outbound sequence emails. Recommended for compliance with email regulations (CAN-SPAM, GDPR).

Allow Simultaneous Sequences for the Same Profile

When off (default), a recipient can only be in one active or paused sequence at a time. When on, the same candidate or contact can be enrolled in multiple sequences simultaneously.

Note on Allow Simultaneous Sequences: If this is turned off, recruiters adding a recipient who is already in another sequence will see a prompt asking them to remove the recipient from the existing sequence before adding them to the new one. This applies across all entry points — the Recipients tab, candidate table, profile pages, extension, and Recipes.

Email Tracking Settings

Track Opens for Emails Sent via Recruiterflow

When enabled, Recruiterflow tracks whether recipients open outbound sequence emails. Open rate data appears in the Overview tab and Channel Performance Report. When disabled, all open-related columns and metrics are hidden across the entire Sequences module.

Important: Disabling open tracking removes open data from all sequences, including ones already running. If you re-enable it later, tracking only applies to emails sent after the toggle is turned back on.
