How to Log an Email by BCC'ing the Logging Address

How to log an outbound email to Recruiterflow by BCC'ing your logging address — and why BCC does not track replies.

BCC'ing the logging address logs your outbound email to Recruiterflow without the recipient ever seeing the logging address. It's the right choice when you want privacy or discretion, and when you don't need replies to be tracked.

How to BCC the logging address

  1. Open your regular email client (Gmail, Outlook, Apple Mail, or any other).

  2. Compose a new email to your candidate or contact as you normally would.

  3. In the BCC field, add your Recruiterflow logging address (e.g., log-[accountid]@mail.recruiterflow.com).

  4. Send the email.

Recruiterflow captures the email, matches it to the right candidate or contact profile, and logs it to their Conversations tab.

Important: BCC'd emails don't track replies

This is the key limitation of BCC logging you need to understand before you use it.

When you BCC the logging address, the address is not included in the email headers visible to the recipient. When they reply, the logging address is not in their reply. Recruiterflow never receives that reply and cannot log it.

Example: You BCC the logging address on an email to a candidate. The candidate replies. That reply is not captured. Only your original outbound email appears on the candidate's Conversations tab.

This is expected behavior, not a bug. If you need the full back-and-forth to be logged, use CC instead.

When BCC is the right choice

  • You're sending a one-way communication - an offer letter, a job spec, an FYI - and replies don't need to be captured.

  • You don't want the recipient to see the logging address in the email headers.

  • You want to log the email quietly, without the logging address appearing in any replies.

Things to know

  • The recipient cannot see the logging address, it's hidden in BCC, just like any other BCC recipient.

  • Attribution is based on your From address, the email is credited to the Recruiterflow user whose email matches the sender.

  • Attachments are supported and will be included in the logged email record.

  • If you email multiple recipients who are in Recruiterflow, the email logs to all of their profiles independently.
