Keep your email history in Recruiterflow without giving it access to your entire inbox. CC/BCC logging lets you selectively capture any email you send — from Gmail, Outlook, or any other client — and attach it to the right candidate or contact profile automatically.
What it is
Every Recruiterflow account has a unique logging address (e.g., log-[accountid]@mail.recruiterflow.com). When you CC or BCC this address on an email you send from your regular email client, Recruiterflow captures that email and logs it to the matching candidate or contact profile based on the email recipients.
No inbox permissions required. No automatic sync. You decide exactly which emails get logged.
Who it's for
CC/BCC logging works for anyone who wants more control over what gets shared in Recruiterflow:
Recruiters who haven't connected Gmail or Outlook — keep your inbox private while still logging candidate-facing emails.
Recruiters on other email clients — works with any email provider, not just Google or Microsoft.
Anyone who wants selective logging — log only the emails that matter, not every thread.
CC vs. BCC — what's the difference?
Your choice here determines whether replies get captured too:
CC the logging address: Logs the outbound email. If the recipient replies and also CCs the logging address, that reply is threaded on the profile too. Use CC when you want the full back-and-forth captured.
BCC the logging address: Logs only the outbound email. Replies are not tracked. Use BCC for one-way emails or when you want to log discreetly.
How email matching works
When Recruiterflow receives a logged email, it:
Attributes the email to you based on your From address
Matches the recipients to existing Candidate and Contact profiles in your workspace
Logs the email in the Conversations tab on every matched profile
If you email both a candidate and a contact who are both in Recruiterflow, the email is independently logged to both profiles.
Example
You're following up with a candidate named Sarah after a phone screen. You compose the email in Gmail, add Sarah's address in the To field, and BCC your logging address. Once sent, the email appears automatically on Sarah's candidate profile in Recruiterflow — no manual entry needed.
Things to know
CC/BCC logging works alongside your Gmail or Outlook OAuth integration — it doesn't replace it or affect how it works.
You cannot reply to logged emails from inside Recruiterflow. Replies must come from your regular email client.
Calendar invites, read receipts, and non-standard email formats are not logged.
Only workspace members can use the logging address. Contacts and external recruiters cannot log emails this way.
If a recipient's email address doesn't match any profile in your workspace, the email won't be attributed — make sure the profile exists before logging.
