Acting on Exec Alerts: When the Person is NOT in Your Database

How to add an executive to your database and start outreach when they're not yet a contact in Recruiterflow.

When an exec movement alert arrives for someone not in your Recruiterflow database, you have the option to add them as a Contact directly from the alert, no manual data entry needed. This is the core BD workflow Exec Watchlist is built for.

How to add an exec to your database

  1. Go to Job Change Alerts → Exec Watchlist tab → New.

  2. Find the alert for the exec. Their name is shown as a clickable link. Clicking it opens the AIRA Source panel so you can preview their profile before adding.

  3. Click Add to Database.

Recruiterflow creates a new Contact record using the available data: name, current title, and current company. The alert moves to the Accepted tab. The action column updates to: Add to Sequence, Find Email, Find Phone.

What you can do after adding

  • Add to Sequence - Immediately enroll the exec in an outreach sequence.

  • Find Email - Trigger an AI credit lookup to find their current email address.

  • Find Phone - Trigger an AI credit lookup to find their current phone number.

All three are available directly from the alert card, you don't need to open their profile separately.

How to dismiss an alert

  1. Find the alert in the New tab.

  2. Click Dismiss.

The alert moves to the Dismissed tab. Unlike in-database contacts, Add to Database is still available in the Dismissed tab for not-in-database execs. If you dismissed someone by accident or change your mind later, you can still add them from there.

Example

You have a watchlist on a logistics company tracking CFO and VP Finance movements. An alert arrives: a new CFO has joined from a competitor. You've never met them. You click Add to Database. They're now a Contact in Recruiterflow. You click Find Email, enroll them in your "New Decision Maker" sequence, and you're done. Total time: under 3 minutes.

Things to know

  • Contacts added this way are created as Contacts, not Candidates.

  • If you dismissed the alert and want to add them later, the Add to Database button is still visible in the Dismissed tab.

  • You can take these actions in bulk.
