This article covers the most common issues with Exec Watchlist, from watchlists that won't save to alerts that aren't arriving, and how to fix each one.
The "Set Exec Watchlist" button isn't showing on the Company profile
Cause: You have view-only access to this Company profile, not edit access.
Fix: Ask your account admin to update your access level for this company. Edit access is required to create or modify watchlists.
The Save button is greyed out when creating a watchlist
Cause 1: The Job Titles field is empty. At least one title is required.
Fix: Add at least one job title and try saving again.
Cause 2: The estimated segment size is 100 or more people.
Fix: Narrow your filters. Add more specific titles, add a Function filter, add a Location filter, or use a combination. The segment estimate updates in real time as you make changes. Save becomes available once the estimate drops below 100.
The watchlist is showing a warning sign after saving
Cause: Recruiterflow couldn't confirm the segment size estimate at save time. Either the estimate API was temporarily unavailable, or the confirmed segment count came back at 100 or more.
Fix: Open the Edit Watchlist panel and re-save. If the estimate is now available and under 100, the watchlist will activate and the warning will clear. If the estimate is still showing 100+, tighten your filters first.
Alerts aren't arriving for a company I'm watching
Possible causes:
No exec movements have been detected yet for your segment. This is normal. It may take days or weeks depending on how frequently the executives in your segment update their profiles.
The watchlist has a warning sign and isn't active yet. Check the Company profile card and resolve the warning first.
The watchlist was deleted. A deleted watchlist stops generating new alerts. Check whether the company profile shows a watchlist card or a "Set Exec Watchlist" CTA.
I'm not receiving the daily email digest
Cause 1: The email digest is turned off in your notification preferences.
Fix: Go to Settings → Email Notification Preferences and make sure Exec Alert Digest — Email is toggled on.
Cause 2: There are no new alerts since the last digest. No email is sent on days with no new movements.
Fix: Check the New tab in the Exec Watchlist directly to confirm whether there are unreviewed alerts.
Cause 3: The digest is going to spam or being filtered.
Fix: Check your spam folder and add Recruiterflow's notification email address to your safe senders list.
An alert card isn't showing the action buttons I expect
Cause: The available actions depend on whether the executive is in your database and which tab you're on. In the New tab, in-database contacts show "Accept Job Change" and "Dismiss". Not-in-database execs show "Add to Database" and "Dismiss". The Accepted tab shows follow-up actions. The Dismissed tab only shows "Add to Database" for not-in-database execs.

The Exec Watchlist tab isn't visible in JCA
Cause: You don't have JCA access enabled.
Fix: Ask your account admin to enable JCA access for your user profile in Settings → Users.
