Understanding Job Visibility Options in Recruiterflow

Control who can see a job at every stage of the recruitment process — from sourcing to close. Recruiterflow gives you five visibility settings, each suited to a different scenario.

Draft default visibility set when you are still working on creating the job post. The job remains private and is not visible to anyone except for you.

How to Set Job Visibility

  1. Go to the any Jobs tab in the main navigation.

  2. Open the job you want to configure, or create a new one.

  3. In the job->edit form, head to Settings and choose a visibility option from the drop-down.

The Five Visibility Options

External

The job appears on your careers page and can be posted to job boards. Use this when you're actively recruiting and want maximum reach.

Internal

The job is visible to your team inside Recruiterflow, but no public job page is created. Use this for internal hires or roles you're sourcing quietly without a public listing.

Unlisted

A job page is created, but it won't appear on your careers page or job boards. Only people with the direct link can view the description and apply. Use this when you want to share a role selectively — for example, with a specific referral network or a client's internal team — without advertising it broadly.

Confidential

The job and all associated candidates are visible only to the hiring team and workspace administrators. No public page is created. Use this for sensitive searches where access needs to be tightly controlled.

Note: Once a job is set to External, it cannot be changed to Confidential.

Closed

The position is no longer active. Closing a job removes it from your careers page and job boards. Use this when the role has been filled or the search has been called off. The job and candidate data remain in Recruiterflow — nothing is deleted.

Practical Example

You're filling a CFO role for a client who doesn't want the search to be public. You start the job as Internal while building the candidate list. Once you have a shortlist ready, you share a direct link using Unlisted so the client can review candidates without the role appearing on any job board. After the placement, you mark it Closed.

Things to Know

  • Visibility can be changed at any time — except External → Confidential, which is a one-way restriction.

  • Closing a job does not delete it. All pipeline data, notes, and candidate history are preserved.

  • Only workspace admins and the job's assigned team members can see Confidential jobs.

  • Unlisted jobs have a shareable URL you can copy directly from the job page.
