Hiding a Candidate File from the Client Portal

How to mark individual candidate files as Internal so clients can't see them when you share candidates through the Client Portal.

When you share candidates with clients through the Client Portal, files attached to the candidate profile are visible by default. Marking a file as Internal hides it from the client view β€” useful for internal assessments, salary notes, or any document that's for your team's eyes only.

How to do it

  1. Open the candidate's profile.

  2. Go to the Files tab and select go back.

  3. Find the file you want to hide from clients.

  4. Mark it as Internal, it will no longer be visible to contacts through the Client Portal.

Things to know

  • Internal files stay fully accessible to your team. Marking a file internal only affects what the client sees β€” your recruiters can still view, download, and manage it in Recruiterflow.

  • This is per-file. You can make some files internal while leaving others visible. Each file has its own setting.

  • Changes take effect immediately. No need to re-share, the client's view updates as soon as you mark the file internal.

  • This applies to the Client Portal only. The setting controls what contacts see when you share candidate stages with them. Internal team members are unaffected.
