Days in Stage Report

See how many days candidates spend in each pipeline stage — broken down by job, recruiter, and stage.

See how many days each candidate has spent in every stage of your pipeline — useful for spotting where candidates are getting stuck and which stages eat up the most time. The Days in Stage Report breaks the data down by candidate, by stage, and gives you the exact number of days in each.

Useful for recruiters auditing their own pipeline hygiene, agency owners spotting bottlenecks across the team, and account managers explaining timeline gaps to clients.

How to run the report

  1. Go to Reports and select Days In Stage.

  2. Pick the time period at the top.

  3. Use Group By to set the breakdown — by job, recruiter, or more.

  4. Open Filters to scope the data using the same options.

  5. Click Download for the full table, each row is a candidate with their days per stage. Or click Save to keep the view so the filters stick next time.

Practical example

A recruiter notices candidates are taking longer than usual to clear submission. They open Days in Stage, set the range to the past quarter, group by Stage, and filter to active jobs. The view shows median days in Company Submission has crept from 4 to 9, a clear sign clients are slow on feedback. They share the export with their account manager to drive the next client conversation.

Things to know

  • The report counts calendar days, not business days. A candidate who sits over a weekend in a stage adds two days to their count.

  • If a candidate moved through a stage multiple times, all visits are summed.

  • Candidates still in a stage have an open-ended count, the report uses today's date as the end point.

  • Saved views are personal, they don't appear for other users unless you share them.
