Taking Actions on Recipients in a Sequence

What each recipient action does, when it's available by status, and how bulk actions work - including the full status vs. action reference matrix.

Who this is for: Recruiters who need to pause, resume, skip, stop, edit, or remove individual recipients from a running sequence.

How recipient actions work

Every recipient in a sequence has a set of actions available based on their current status. Not every action is available in every status. A finished recipient can't be paused, a bounced recipient can only be deleted. This article covers what each action does and exactly when it's available.

To access actions, go to the Recipients tab inside the sequence, find the recipient's row, and click the Actions dropdown on the right.

Individual actions

Pause Sequence

Temporarily stops the sequence for one recipient. No further steps execute until the recipient is resumed. Any step currently in progress is paused where it is.

Available when: In Progress, Pending Action, Error

Not available when: Already Paused, Finished, Responded (if stopped by rule), Meeting Booked (if stopped by rule), Bounced, Stopped, Unsubscribed

Resume Sequence

Resumes a paused recipient at the next scheduled step. The delay clock picks up from where it left off, it doesn't restart.

Available when: Paused only

Skip Step

Skips the current step for the recipient and immediately advances them to the next step in the sequence. A confirmation modal shows what the next step will be.

Use it when: A step is stuck in error and you want to move the recipient past it without waiting for a fix, or when a step is no longer relevant for a specific recipient.

Available when: In Progress, Pending Action, Error

Not available when: Paused, Finished, Responded (if stopped by rule), Meeting Booked (if stopped by rule), Bounced, Stopped, Unsubscribed

Edit Content

Opens the sequence where you can edit the sequence content for this specific recipient only. Changes here don't affect the sequence definition or any other recipient.

What you can edit: Email subject and body, social message, SMS body, task details, for any step the recipient hasn't reached yet.

What you can't edit: Steps the recipient has already completed, sequence structure (adding/removing steps, changing delays).

Available when: In Progress, Pending Action, Error

View Content

Opens the same panel as Edit Content but in read-only mode. Shows what was sent or is scheduled to be sent at each step, including the resolved content (actual names, values, AIRA output) for completed steps.

Available when: Finished, Responded, Meeting Booked, Paused, Bounced, Stopped, Unsubscribed

Stop Sequence

Permanently ends the sequence for this recipient at the current step. The recipient moves to Stopped status. This cannot be undone. A stopped recipient cannot be resumed. Their data and reporting history remain visible.

Use it when: The recipient has responded via another channel, they've asked to be removed, or you've decided this sequence isn't right for them.

Available when: In Progress, Pending Action, Error, Paused (and conditionally for Responded and Meeting Booked if stop-on-response is off)

Not available when: Finished, Bounced, Stopped, Unsubscribed

Delete Recipient

Removes the recipient from the sequence entirely and permanently deletes their reporting history for this sequence. This cannot be undone.

Available when: All statuses, but it's the only available action for Bounced recipients.

Use Stop Sequence instead if you want to preserve reporting history. Only use Delete when you need to fully remove any trace of this recipient from the sequence.

* Responded and Meeting Booked: if Stop on Response is OFF and the sequence is still running for this recipient, Pause, Skip, Edit, and Stop are available, matching In Progress behaviour.

Bulk actions

Select multiple recipients using the checkboxes in the Recipients tab to apply actions across all of them at once. Available bulk actions:

  • Pause Selected - available only when all selected recipients are In Progress or Error

  • Resume Selected - available only when all selected recipients are Paused

  • Skip Step - skips the current step for all selected recipients

  • Stop Selected - stops the sequence for all selected recipients

  • Delete Recipients - removes all selected recipients and deletes their reporting history

  • Bulk Edit Content - opens the content editor for multiple recipients simultaneously

All bulk actions that are irreversible (Stop, Delete) require a double confirmation before executing.

Pausing the entire sequence vs. pausing a recipient

These are two different things:

  • Pausing a recipient (covered in this article): stops progression for one person. Everyone else continues.

  • Pausing the sequence (from the Sequences table): stops progression for all recipients simultaneously. Individual recipient actions like Skip and Pause/Resume are disabled at the sequence level while the sequence is paused. Stop and Delete remain available.

When a paused sequence is resumed, all recipients who were In Progress before the pause return to In Progress automatically.
